Working within the CEO’s office the Executive Assistant role is a key member of the organisation’s administrative support team, providing essential administrative support to the Executive Leadership Team. As part of the CEO Office, reporting to the Business Manager, you will be primarily responsible for supporting 2 Directors from VisitScotland’s Senior Leadership team. The CEO Office is a small, but highly effective team that work collaboratively to support the CEO and the Executive Leadership Team to ensure all the administrative needs of the organisation are met. You will gain extensive knowledge of VisitScotland and it’s aims and objectives in this role and will build strong relationships with key personnel within the organisation and externally. Discretion and confidentiality are essential attributes for a successful Executive Assistant. This post is key to the smooth day to day operation of the Directorates it supports. It includes providing professional secretarial and administrative support to the Directors usually on a one-to-one basis, diary management, prioritising busy workloads, as well as supporting with key strategic projects as required. You can read more about working for us, our benefits and our culture by clicking here What you must have: •Extensive experience in a demanding and fast paced administrative role or equivalent experience in an Executive Assistant position working with staff at a senior level •Excellent IT skills, in particular Word, Excel, Outlook and PowerPoint. •Experience of minute taking. •Excellent general administrative, organisational and interpersonal skills. •Ability to forward plan, work to deadlines and take a proactive approach to organising a busy and demanding workload. •Excellent communication skills. •Experience of creating executive levels presentations. •An eye for detail and ‘365 degree’ vision •Ability to work juggle priorities in in self-led manner. •Experience of organising meetings and coordinating logistics associated with venue hire and other logistical needs associated with small/medium corporate meetings.
