The Role As a member of the on-boarding team at BAE Systems you will become part of a professional team supporting the Graduate and Apprentice Recruitment process by completing on boarding activities. Based in Preston and reporting to the On-Boarding manager, the On-boarding professional is responsibe for supporting all candidates throughout the onboarding lifecycle. This would begin after verbal offer and is the administrative tasks required to bring a candidate into the business. Supporting a number of activities from offer management, HR systems on-boarding, security clearance to first day readiness. The key focus of the On-boarding team is to create a positive experience where our candidates feel informed and prepared for their transition into the business. Role Responsibilities: Not limited to Providing timely/regular communications, ensuring candidates and hiring managers are effectively engaged and supported throughout the on-boarding lifecycle. Responsible for providing a quality customer service, including interacting with other teams involved in the on-boarding cycle e.g. Occupational Health/Security, answering enquires and escalating where appropriate Providing advice and offering support with minimal supervision, following established processed but on occasion, judgement my need to be excersised Collate candidates documents into 'eFolders' that will be used in the candidates file throughout their employment in the business Attend and contribute to daily stand up meetings and review workload/priorities Provide support to candidates throughout the process if required Offer Management: Responsible for producing and gathering of offer paperwork including Contracts, new starter forms, official secrets act, code of conduct, bank details, salary etc. Pre-placement screening - Security, occupational health, qualification checking, right to work checks Monitoring the process of the above through to completion within the agreed and strict timescales On-Boarding: Support the on-boarding activities such as chasing and gathering candidate information Updating candidate information to various systems Insuring all the checks have been done for the candidates and liase with the recruiters to ensure the candidates are first day ready Work with various teams to ensure candidates are onboarded into systems and IT ordered First Day Readiness: Prepare candidate data to be onboarded into the system Collate candidate information and provide to hiring managers/recruiters Sending candidate information over to a further team to be onboarded Gather IT information to send to hiring managers Quality: Ensuring procedures and policies are adhered to, including data protection and confidentiality guidelines Process documents - supporting and contributing to continuous improvements and implementation of new processes within the team Ensuring all process maps and work instructions are maintained to a quality standard Working within set timeframes to meet strict deadlines with great attention to detail What BAE Systems are looking for, from you: Customer Service Experience (E) Strong Administration background (E) Knowledge of HR Administration (D) Proven experience as an Administrator in a recruitment or onboarding team (D) Experience using an applicant tracking system (D) Interpersonal, team working skills (E) Excellent written and verbal communication skills with strong attention to detail (E) Experience of working in a fast pasted, strict deadline environment (E) Highly organised with the ability to proritise and manage multiple tasks simultaneously whilst maintaining the highest of standards and accuracy (E) Hands-on experience within recruitment/HR systems (D) Experience with managing stakeholders across all levels (D) Minimum 4 GCSEs or equivalent including Maths and English (Grades A-C) (E) Basic IT skills (MS Packages) (E) Advanced Excel skills (D) Security Requirements: BPSS This role requires you to obtain a basic disclosure along with employment reference checks before starting. The Umbrella rate quoted above is the Gross Umbrella rate (i.e. the rate we pay to the Umbrella Company inclusive of ALL employment costs).
