Overview
We are seeking a professional and friendly Receptionist to join our team. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service while managing various administrative tasks. This role requires strong organisational skills, attention to detail, and the ability to multitask in a fast-paced environment.
Responsibilities
1. Greet and welcome visitors in a warm and professional manner.
2. Answer and direct phone calls with excellent phone etiquette.
3. Manage incoming and outgoing correspondence, including emails and postal mail.
4. Perform clerical duties such as data entry and filing documents accurately.
5. Maintain office supplies inventory and place orders as necessary.
6. Assist with scheduling appointments and managing calendars for staff members.
7. Utilise computerised systems for record keeping, including QuickBooks for invoicing and billing purposes.
8. Support administrative tasks as required, ensuring smooth office operations.
9. Proficiently use Google Suite applications for document creation, spreadsheets, and presentations.
Qualifications
1. Proven experience in a receptionist or administrative role is preferred.
2. Strong organisational skills with the ability to prioritise tasks effectively.
3. Excellent clerical skills with attention to detail in data entry tasks.
4. Proficient in using computerised systems, including QuickBooks and Google Suite.
5. Exceptional communication skills, both verbal and written, with a focus on phone etiquette.
6. Ability to work independently as well as part of a team in a busy office environment.
7. A positive attitude and professional appearance are essential for this role.
