The Senior Team Administrator provides comprehensive administrative support to designated property teams and the wider business as required. This role requires a highly organised administrator who can efficiently manage and coordinate a team of property professionals based in various locations within the U.K.
This is a London-based hybrid role, which requires you to attend the office 2 or 3 days per week, ideally on a Tuesday/Wednesday/Thursday.
Main Duties & Responsibilities include:
Administrative support for monthly Committee Meetings:
* Proofreading and formatting reports and/or documents in line with company standards in a timely and accurate manner
* Collating and distributing meeting papers and/or reports within the specified timeframes
* Producing clear, concise, and accurate minutes at Committee and Board level meetings which require minimal amendments
* Following up on action points, via email, immediately after finalising minutes, with reminders being sent a week before subsequent meetings
* Filing all papers and minutes on SharePoint.
Administrative support for the Development, Technical & Planning and Construction Teams:
* Arranging meetings and assisting with the preparation of meeting rooms
* Processing purchase orders
* Managing travel and hotel bookings and rescheduling, as required
* Preparing PowerPoint presentations for internal and external use
* Providing administrative support to the Net Zero Accelerator Programme.
* Raising purchase orders, setting up suppliers, validating invoices, and performing reconciliation tasks
* Completing ad-hoc administrative tasks as required
* Interacting with employees, clients, and stakeholders to build good working relationships at all levels.
Minimum Requirements:
* GCSE in Maths and English or equivalent
* Experience of advance minute taking skills at Committee and/or Board level
* Experience of providing diary management, meetings organisation and general administration for a group of senior professionals
* Proficient in spelling, punctuation, grammar and other English language skills
* The ability to multi-task and a strong work ethic requiring minimal supervision
* Highly organised with strong attention to detail, ensuring clarity and accuracy of all documentation
* Possess advanced IT capabilities in Microsoft packages.
