Job Description – People & Projects Coordinator
Reporting to: Operations Manager
Role Purpose:
The People & Projects Coordinator plays a key role in the day-to-day running and continued growth of The Nunhead Gardener. With a strong focus on recruitment and planting installation projects, this is a hands-on role for someone who wants to be involved in all areas of the business, from staffing and operations to customer-facing work and logistics. The role combines administration, coordination, and in-person support, making it perfect for a proactive, adaptable team player.
This is a full-time position, which includes regular weekend working.
Responsibilities:
Recruitment & Onboarding:
1. Write and post job ads on Indeed, Employment Hero, and The Nunhead Gardener website
2. Manage incoming applications, screen candidates, and arrange interviews and trial shifts
3. Coordinate feedback and communication with candidates
4. Ensure trial shifts are logged and paid
5. Oversee onboarding, system setup, and integration into the team
6. Maintain recruitment records and support wider hiring initiatives
Project Coordination:
1. Coordinate planting installations and maintenance, from creating proposals, scheduling and logistics to delivery and aftercare
2. Act as the main point of contact between clients, site teams, and operations
3. Order and prepare materials and stock for upcoming projects
4. Ensure timelines, budgets, and client expectations are met
5. Provide post-installation support, including maintenance scheduling when needed
6. Report weekly on project progress and updates
General Operations:
1. Support the smooth running of the Head Office and store network
2. Help ensure systems are up-to-date and staff are trained effectively
3. Liaise with stores to ensure they have functional hardware and access to resources
4. Coordinate annual fire and health & safety inspections
5. Manage the H&S tracker and ensure all staff complete the required training
6. Maintain accurate health & safety records and flag outstanding actions
7. Contribute to operational audits, reports, and improvement projects
8. Provide support to directors and management on ad hoc tasks
Customer Support:
1. Respond to customer queries, complaints and feedback in a timely manner
2. Feedback to senior management on any escalations, recurring complaints and requests
3. Liaise with suppliers to fulfill customer requests
Retail Operations:
1. Complete shifts weekly in the stores as required, ensuring you are always up to date on the latest processes and procedures
2. Learn the opening, operating and closing procedures in each store
3. Support the store in busy periods such as busy seasons, bank holidays and help to cover staff holidays as required
4. When in store, to actively ensure that all staff are following procedures whilst flagging or completing training sessions when required
5. To demonstrate the highest levels of customer service when in the store, setting an example for other staff members
6. Undertaking stock takes of products and assisting to analyse and report results
7. Ensure that staff uniforms are issued to new staff within 5 days of starting with the business, and control the return of staff uniforms from leavers
8. Ensure that the staff uniform is kept clean and well-organized within the warehouse
9. Ensure that an accurate record of all stock items is maintained and that orders are placed when items or sizes run low
Requirements:
The Operations & Projects Coordinator is a Nunhead Gardener ambassador with excellent business administration and communication skills, displaying a relentless drive to move the business forward. Must have exceptional written and verbal communication skills, they will be organised and highly proactive. They will also be comfortable working in a fast-paced environment and be able to work under pressure. They should be highly computer literate. The coordinator must be process-oriented with a keen eye for detail. A flexible attitude and time management skills are essential – there may be occasions where working out of office or store hours will be required.
