CBRE are currently recruiting an enthusiastic and service driven Accounts Analyst to provide operations and administrative support for a business unit or large department. Assists in coordination of budget, process improvement, controls for specialised software and other functions enabling the department to meet objectives in an effective and efficient manner. Client The Client is a global life sciences business at the forefront of developing life-changing medicines for over 30 years. The site is the Commercial office for the UK business, so is a visible and high-profile site demanding a meticulous eye for detail, effective communication skills and efficient site operations. Key Responsibilities To enable the dedicated CBRE FM account team and Gilead to be more agile through faster identification of issues, trends and opportunities. Identifying issues, trends and opportunities: · Use data modelling to connect different internal and external resources daily · Create dashboards, review and publish utilising Power Bi · Engage with operational account team and clients to identify and implement solutions for operational, financial reporting · Identify performance improvement programmes to implement to resolve issues in contracts · Building cost metrics; per square metre, per desk, by service line, vs benchmark etc. Finance: · Reporting on CBRE billing on a month-to-month basis · Presenting savings against client Op Ex budget. Procurement: · Identifying opportunities to standardise · Identifying opportunities to reduce cost · Benchmarking in country costs · Reporting on open book pricing. Maintenance: · Reactive times · Downtimes · Completion Rates. Sustainability: · Energy consumption. Helpdesk responses: · SLA targets · Trends for sites. KPIs: · Reporting progress and resolution of ongoing issues with sites · Trends across regions · Reporting on contractual commitments and compliance. · HS&E compliance. Outputs: · Dashboards for real-time reporting · Accurate and succinct reports Stakeholder communication: · Presenting findings and recommendations to Client and other relevant stakeholders. Required skills and qualifications: · Strong analytical skills with proficiency in data manipulation and reporting tools (e.g., Excel, Power BI) · Knowledge of facilities management practices, including maintenance procedures, building systems, and space planning · Excellent communication and presentation skills to effectively convey data insights · Diligence and ability to identify discrepancies in data · Understanding of financial principles to analyse costs and budgets · Familiarity with facility management software systems · Relevant experience in a facilities management or analytical role. Data collection and analysis: Monitoring and analysing data from facility management systems, work orders, space utilization reports, energy consumption, maintenance records, and other relevant sources. Cost management: Tracking facility expenses, identifying cost-saving opportunities, analysing vendor contracts, and managing budgets for maintenance and repairs. Space utilization analysis: Assessing office space usage, identifying areas for optimization, and recommending changes to improve efficiency. Performance reporting: Generating regular reports and dashboards to visualize key facility metrics, including maintenance response times, equipment downtime, and energy usage. Project management support: Assisting with the planning and budgeting of facility improvement projects, including renovations and upgrades. Audits and inspections: Conducting periodic facility audits to identify potential safety hazards, compliance issues, and maintenance needs. Vendor management: Evaluating and managing relationships with facility service providers, negotiating contracts, and monitoring performance Stakeholder communication: Presenting findings and recommendations to facility managers, senior management, and other relevant stakeholders. Accountabilities Reporting to CBRE Account Manager. Accountable day-to-day to the relevant client contacts. Financial responsibility for the delivery of planned commitments for the site. Experience: · Good PC based skills, with experience in Word/Excel and Outlook - to advance level · Requires knowledge of different CBRE platforms · Advanced proficiency in AccountIQ · Requires knowledge of financial terms and principles. Ability to calculate intermediate figures such as percentages, discounts, and/or commissions. Conducts financial analysis. · PowerPoint and Access. · A minimum of five years related work experience to include budgeting, finance and or business analytics; or equivalent combination of education and experience. · Advanced proficiency in Microsoft Office Suite. Spreadsheet skill set to include advanced functions such as graphics, pivot tables.
