JOB ROLE PURPOSE To provide administrative support to ensure efficient operation of the office and support the on-going operations and growth of the business. Provide support for the management team in a variety of tasks related to the site, organization, and communication. The job scope includes communicating via phone and email ensuring that all administrative and receptionist duties are completed accurately and delivered with high quality and in a timely manner. The role will embed administrative and document control excellence across the key discipline areas of Project Governance & Administration. Key responsibilities are: Assist the Office Manager in day to day running of the Site Office to ensure smooth operations. Following safety procedures and monitoring access via the reception desk into the Sweets Offices. Providing a welcoming and professional appearance. Attend First Aid & Fire Marshal Training to assist with safety procedures within the site office. Maintain the First Aiders site lists and assist with First Aid inspections when required. Answering, screening, and forwarding incoming emails from the Site Support inbox. Categorising as required. Site support calendar management. Adding visitors, non-site staff and desk allocations. Ensuring this is communicated to site security. Assist team with arranging and booking of meetings rooms and catering. Providing training and guidance to the team to encourage self-sufficiency. Maintain the site project directory for Alliance partners and contractors. Updating biannually. Maintain the Annual Leave matrix for site teams, sending out weekly communications and adding to notice boards. Produce and distribute email communication to the site team as and when instructed by the Office Manager. Daily direct communication with staff and visitors providing office support where required helping to resolve any site office facility issues. Preparing the Union Park monthly team briefing presentation, collating information and arranging catering. Ordering of Sundries, consumables and Stationery supplies Stock take and maintain the consumables, stationery & PPE cabinet. Book recycling of PPE Ad Hoc Office Support & Admin support to SLTeam Receiving, sorting and storing of office deliveries. Ensuring the delivery note is captured on the internal Inndex system Maintain green, yellow & red conduct card register while updating on the Inndex system Liaise with IT to ensure any IT reported issues are dealt with in a timely manner, such as printers and WIFI Liaise with the Welfare assistants to ensure fruit and milk is stocked, and the breakout area and kitchen are well maintained to a high standard. Assist new/other sites as and when required by the business with the above tasks Technical Skills: Strong IT skills, specifically word, excel PowerPoint and Visio. Strong understanding of the workings of an office Experience required: Previous Administration experience Experience of working iin Construction is preferred but not essential Competencies: Strong attention to detail Organised and methodical Accurate and analytical Excellent interpersonal skills Ability to multi task and prioritize effectively To work under pressure and to tight deadlines The ability to problem solves Good organizational skills and ability to work to, and sometimes implement own processes Have a can-do approach Sweet Projects is an Equal Opportunity Employer.
