Axi Recruitment is supporting a fast-growing renewables business in East Yorkshire for a competent Technical Administrator to join their team, who can hit the ground running. The role will provide technical administration for the Operations and Engineering Team, along with office management support to the commercial arm of the business.
Job Details:
* Production of documents at both business and projects levels such as flow charts, policies, procedures, test plans, commissioning documents, project management plans, quality plans, business & project level organigrams etc.
* Set up and maintain standard filing structure for all projects including design projects.
* Administer subcontractors & supplier vetting, approved subcontractor & supplier lists.
* Assist with procurement activities.
* Index, submit & distribute outgoing and incoming correspondence as requested.
* Assist in the production of pre-qualifications supporting document consolidation.
* Assist engineering and proposals personnel in the development of estimating and proposals documents, registers, and filing and consolidation of supporting documents.
* Managing the competency & training records of all personnel at business and project levels, including training and competency records for subcontractors.
* Arranging training as required.
* Manage Citrus/SafeHR.
* Monitor company software users and renewal dates. i.e. Visio users.
* Maintain and manage office supplies, equipment, and inventory.
* Provide concise and accurate internal communications.
* Plan and organise office events, including training sessions and team-building activities.
* Making cost effective travel & hotel arrangements for trips to sites, clients, suppliers and subcontractors as required.
* Taking meeting minutes as required.
* Ensure company vehicles documents and files are current and legal requirements in date i.e. MOTs, tax, & insurance.
* Arranging training as required.
Experience:
* Previous experience of a similar role in a technical environment.
* Effective organisational skills, particularly document control for project management support.
* Effective verbal and written communication skills to cater to a wide range of stakeholders.
* Time management in line with the requirements of project management and the variety of tasks in this role.
* Attention to detail whilst undertaking all tasks to a high standard, including presenting user-friendly information.
* Project coordination, with awareness of planning and milestones.
* Proficient use of Microsoft Office, and other office management-based software.
* Effective stock management relating office equipment and consumables.
* Basic spreadsheet and bookkeeping knowledge.
