Our client is looking for a Legal Assistant to join the business on a permanent basis. This is a new role to the organisation following a period of continued growth where the Managing Director & Senior Management Team need some additional support. This role has been created to support the Managing Director with a range of legal assistant duties on a daily basis, almost similar to a PA role in some duties, but most of the focus will be on a range of Legal Administrative duties in the property / construction sector.
Responsibilities and duties will include, but are not limited to:
* Working with Senior Management team to understand what projects are currently being worked on and what support is needed.
* Attending regular meetings with the MD, minute taking and assisting with any follow-up actions or documentation requests.
* Sending out documentation and agreements such as section 106 agreements.
* Supporting with any queries and structural warranty claims.
* In regular liaison with external legal / consultancy companies to check on progress and chase documentation.
* Running and manipulating reports for management team and suggesting any improvements of how data could be used more effectively/efficiently.
* In regular communication with external providers to obtain information or raise any issues or concerns if highlighted.
* Managing the MD’s diary, ensuring events and meetings are booked in effectively.
* Assisting with additional administrative tasks like booking travel or accommodation for Director when required.
* Working directly for the MD, with PA support duties that will vary from week to week.
* Preparing reports for the MD, customising the presentation of these reports to suit the format in which they are required.
* Occasionally attend some meetings with the MD to support with the visit and to also provide minute taking.
Skills and Experience:
* Ideally worked in a legal assistant role, ideally within the property or legal sector would be an advantage but not essential.
* PA / Secretarial or similar experience, where you have that instinct to know what support is needed and can prepare for tasks ahead of time.
* Excellent organisational skills.
* Build a strong rapport and working relationship with the MD and the senior management team.
* Must have strong IT skills and be familiar with Word, Excel, PowerPoint, Sharepoint, Outlook.
* Comfortable managing own workload and prioritising key tasks.
* Someone who is flexible and can support the wider teams in the business when needed.
* Ability to work under pressure.
* High attention to detail.
* Confident with numerical skills.
* Proficient with MS Office.
