Role Title: Recruitment Associate - Out Of Cycle Interns, candidate management
Reporting To: Recruitment Lead
Role Summary
This role is responsible for managing recruitment logistics associated with the Out of Cycle intern hiring, ensuring an effective and successful recruitment process. This includes coordinating and facilitating various aspects of the recruitment process alongside the recruiter to provide an exceptional experience for candidates and hiring teams alike. In addition, this role will continue to be responsible for overseeing recruitment process effectiveness including system maintenance and accuracy, audit requirements and issue resolution working closely with the recruiters to ensure overall delivery effectiveness and accuracy.
* Support the team with raising roles on the recruitment platform, ensuring that all mandatory elements are completed in line with the agreed process (e.g. COA, job briefing)
* Assist in the creation, editing, and maintenance of recruitment marketing materials in line with Macquarie Tone of Voice Guidelines
* Coordinate and manage all logistics related to candidate interviews, including scheduling, arranging invites and room bookings or Zoom logistics for interviews and collating candidate feedback.
* Update the Avature recruitment system accurately in line with the workflow, audit requirements and in real time.
* Issue psychometric assessments to candidates monitor responses and track performance for reporting purposes.
* Act as a point of contact regarding queries and resolving issues, ensuring timely and clear communication between candidates, recruiters, and hiring managers.
* Prepare and distribute interview schedules and necessary materials to candidates and interview panels.
* Support with compiling and collating all items associated with the offer, including candidate documents, approvals, and ICD forms as appropriate.
* Assist with the onboarding process for new hires, ensuring a smooth transition from candidate to employee.
* Take ownership of ad-hoc tasks as needed, resolving issues and maintaining flexibility to Support diversity and inclusion initiatives within the recruitment process.
Process Improvement and Efficiency
· Collaborate with the recruitment team to identify areas for process improvement and implement changes to enhance efficiency.
· Prepare recruitment metrics and provide insights to improve process efficiency.
· Ensure system accuracy and compliance with the end-to-end recruitment process.
· Support the resolution of operational process issues, ensuring ownership and accountability to enable recruiters to focus on business and candidate engagement.
· Oversee Avature audits to ensure accuracy and drive improvement of common issues
Responsibility and Accountability
· Maintain accurate records of candidate and hiring manager interactions and logistics in the recruitment database.
· Resolve, seek help or escalate issues when necessary to ensure timely resolution.
· Take ownership and accountability for tasks and issues, seeking opportunities to improve processes.
· Ensure compliance with all relevant employment laws and regulations.
· Build excellent relationships with colleagues and clients, acting as a trusted advisor
Stakeholder Management
· Serve as a point of contact for the recruitment team, candidates, and hiring managers regarding queries and resolving issues.
· Develop and maintain strong relationships with candidates and hiring managers to ensure a positie recruitment experience.
· Provide administrative support and guidance to hiring managers on the recruitment process and best practices.
· Effectively identify, prioritize, and escalate issues to ensure timely resolution.
Customer Experience and Engagement
· Ensure timely and clear communication between candidates, recruiters, and hiring managers.
· Monitor and respond to candidate and hiring Manager feedback to improve the recruitment process.
· Support candidate communications and compile and collate all items associated with the offer, including candidate documents, approvals, and ICD forms as appropriate.
· Assist with the onboarding process for new hires, ensuring a smooth transition from candidate to employee.
· Maintain a flexible approach to support a range of ad hoc activities, including Avature issues, and supporting the team with additional capacity with onboarding and scheduling activities.
· Effectively identify, prioritize, and escalate issues to ensure timely resolution
