What You Will Do:
We are looking for an Office Manager/Receptionist to support our UK HQ on a 1-year fixed-term contract. This role will report directly to the HR-EA and be responsible for a number of office, reception and administration tasks.
Key Responsibilities
RECEPTION:
1. Answering and transferring incoming calls
2. Meet and greet visitors
3. Process deliveries
4. Manage visitor parking
5. Manage meeting room for customers
6. Manage visitor/contractor signing in process
7. Manage visitor/contractor door passes, including starters and leavers
8. Manage and book courier requests
OFFICE:
9. Manage office suppliers
10. Manage maintenance requests - log, action/complete MR process
11. Stock control and ordering of refreshments, company free vending etc
12. Stock control and ordering of stationery
13. Attend regular building management meetings and follow through on any actions required
GENERAL ADMINISTRATION
14. Open and distribute post
15. Prepare post for evening drop-off
16. Processing invoices with purchase orders and forwarding to accounts for payment
17. Responsible for travel management (booking flights, accommodation)
18. Ensure photocopier areas are fully supplied and clear
19. Responsible for general office housekeeping, including meeting rooms
20. Manage office moves within the building
H&S
21. Ensuring H&S (First Aid and Fire Evac) notices are up-to-date
22. Ensure H&S staff certification are up-to-date
23. Assist the Compliance Officer with company compliance actions as and when required
This will include any other ad hoc tasks as reasonably requested.
