We are a practice that places emphasis on each team member feeling valued, supported, and being able to impact the way we work. We are a busy, small animal practice in Ipswich, with a friendly and dedicated team.
Key Responsibilities for Reception:
1. To provide an exceptional service to our clients and the best care possible to their pets - providing a link between clients and the clinical team. Your ability to build strong relationships with our clients, their pets and the practice team will be critical to your success.
2. Your great client service during a client’s visit will make sure that their absolute satisfaction is given, and that the client leaves knowing that they have received exceptional service and look forward to their next visit.
3. You will greet each client and offer support, guidance and expertise, managing payments and future bookings confidently. Coordinating the smooth running of the day-to-day routines of the practice, done using our management system.
Key Responsibilities for debt control:
4. Chase all insurances, cash debtors, direct credits, charity accounts and referral invoices with clients.
5. Be able to refer clients to debt collectors in line with our practice policy
6. Support the processing of insurance claims for the practice and our clients
7. Comply with Health & Safety Regulations and local policy within the practice.
8. Working with other members of the team to ensure that the reception and other areas of the practice are kept to a high standard of cleanliness and are always presentable.
9. Bereavement handling – offer physical and emotional assistance to clients in sensitive situations.
10. Adhere to and be able to locate all Company and local policies and procedures.
The attributes required
11. You are the friendly and welcoming face for the client and their pet when they arrive at the practice.
12. Your personality is infectious and along with your fellow colleagues, you create a welcoming and friendly atmosphere in the practice.
13. Reception/customer care experience is essential. If this is within the veterinary industry it is advantageous, but not essential, as full training and on-going support will be provided.
14. You need a good level of computer literacy, particularly in Microsoft Excel and Word.
15. You need to have great communication skills, be able to show compassion to our clients as the subject matter involved may often be of a sensitive nature, whilst still following the protocols of the practice.
16. You need to be able to multi-task
17. You need to be organised and have an eye for detail, ensuring payments are received and processed appropriately
18. You will be in a lead role for debt management within our practice so need to be able to work alone, as well as part of our team
19. You are calm, attentive, and always focus on the clients’ needs.

This role is part time, working an average of 33 - 37 hours per week.
