You will provide excellent customer services and the role will involve a range of administrative duties to ensure the smooth running of the department and wider organisation. Working Hours - 24 hours per week between the hours of 8.00am - 17.00pm Monday to Thursday with some flexibility to be discussed at interview.
The candidate is required to work on the Leigh site to support the Catering Management team with clerical duties as set out in the job description.
Candidates ideally should have the knowledge and technical skills including proficiency with Microsoft programs. Strong attention to detail and the ability to work without supervision is essential.
The role may require you to work across all areas in the Trust including areas that are designated as positive, asymptomatic and negative for COVID.

Key results from the job holder
As a member of the site Catering team you will undertake a wide range of clerical duties to support the service as directed by the Managers
Planning and Organisational Duties
• Completion of databases & spreadsheets for recording and generating orders & production lists.
• Accuracy when recording information,
• Carry out the typing of memo’s letters and reports for managers promptly and accurately.
• General photocopying, scanning, faxing, printing labels etc
• Receives and opens incoming mail, sorts and posts outgoing mail at the end of the working day
• Manage bookings for functions and records in diary, produces weekly function list and raises invoices to debtors in respect of buffet work.
• Use of Oracle systems for checking invoices & Delivery notes
• Establish and maintain effective and efficient filing systems.
• Maintain general records regarding, vending, sickness/absence, functions etc.
• To update the intranet menu on a daily basis.
• Maintains stationery stock and requisitions replacements
• Plans and arranges meetings for Managers.
• Any other general clerical duties as directed
Communications and Key Working Relationships
• Receives incoming calls for managers and Departments from external and internal contacts, takes messages and appropriate action.
• Contacts & liaises with suppliers as requested by managers.
• Liaise with wards on numbers required and convey messages on behalf of the Manager if there are problems regarding meal service delivery.
• Liaise with colleagues, external suppliers, finance and users of services as directed by managers.
• Compliance with Trust and Local procedures.
Responsibility for Finance
• Maintains stationery stock and requisitions replacements
• Input financial data accurately and in a timely manner, follow SFI’s
• Bring discrepancies to the attention of the Management
• Safe use of equipment and stocks

Responsibility for Human Resources
• Demonstrate own duties to new starters
• Attend courses as directed, ensure compliance with mandatory training

• Complete timesheet or work record
Responsibility for Health & Safety
• Responsible for ensuring own safety at work
• Report any equipment defects to Supervisors/Managers
• May be expected to enter kitchen areas and follow Food Safety protocols
• Reports accidents at work and defects with machinery and buildings
