Purpose of role The Office Services Operator is responsible for providing a pro active on site office support service to the legal fee earners within this law firm in the heart of the city. This includes varies duties including reprographics, print administration, customer service, and mailroom. Key responsibilities Scan, print and copy documents for the client making sure work is quality checked and sent back correctly. Deal with incoming post. Sort and scan everything and e-mail to the relevant departments. Meeting room set-ups. Deal with outgoing p o st by Franking/Royal Mail. Book couriers and deal with incoming couriers quickly and efficiently. Build relationship with clients and manage their perceptions and expectations by proactively supporting needs. Support colleagues and work as a team in order to achieve the best results for clients. Comply with departmental procedures. Assist with stationery. Check and stock cupboards, record items that need ordering. Rotating weekend on call cover service. Adhoc duties as required. Personal attributes A proactive attitude, floor walking where necessary to support fee earners. Good PC skills with knowledge of Microsoft Word and Excel. Previous Post room and Reprographics experience Outstanding customer service skills. Able to think outside the box and make decisions if in the absence of the Team Leader or Senior Operator. Able to handle difficult situations well and to act appropriately. Display an adaptable and flexible approach. Team player – not only within their team but personable and will help out wherever to get the job done.
