Job Title: Administrator
Reporting: Nurse Manager
Part Time Role - 30 hours a week
Macklin Group are recruiting for an Administrator at Our Lady's Care Home in Belfast. The successful candidate will be expected to work 4 days a week Monday to Friday 9am-5pm. The ideal candidate should be flexible to work any 4 days between Monday to Friday depending on business needs.
Basic Function:
To carry out receptionist & administrative duties to support the effective and efficient running of the home.
Other general administration tasks as and when they arise, in order to ensure the smooth running of the home.
About The Role
Finance
Assist in provision of payroll information, by ensuring timely and accurate updating of the time and attendance system
Provision of information regarding billing by ensuring timely and accurate updating of occupancy information on to relevant systems
Collation of cash and cheque payments for lodging in relevant bank accounts
Managing petty cash and resident funds, ensuring up to date records and regular reconciliation
Creation of Purchase Orders, to be forwarded to Finance team
Creation of invoices for third party services including hairdressing, podiatry etc
Assist manager in monthly reconciliation of the safe
Human Resources
Supporting management team in securing cover for rota, liaising with agencies, maintaining contact with bank staff
Taking notes at formal meetings, as and when required
Recording all absence details in the time and attendance system, including sickness, annual leave, maternity / paternity etc
Receiving all relevant medical certificates and forwarding to the HR team as appropriate
Other general administration tasks as and when they arise, in order to ensure the smooth running of the home.

Desired Criteria
* •Previous HR and/or Finance administration experience
* •Previous reception experience in a caring environment
* •Previous experience of working with Time & Attendance systems
Required Criteria
* •Excellent command of spoken and written English and right to work in the UK
* •Proven 2 years experience in a busy office or admin environment
* •Proven 2 years experience of the provision of quality administrative support
* •GCSE English & Maths
* •Competent in the use of Microsoft Office applications in particular excel and word.
* •Previous reception experience
