Administrative Support Work location: Naval Station Norfolk Navy experience preferred Active Secret Security clearance required Candidates will possess the relevant experience to accomplish administrative support to collect, collate, display, analyze, and interpreting actions associated with this position. Support routine and recurring administrative efforts including but not limited to: monitoring, directing, and managing calendar events; drafting, reviewing, scheduling and drafting/correcting meeting minutes and correspondence; monitoring and routing office correspondence; Provide administrative and copy-editing support for handbooks, policies, instructions, correspondence and aiding communication with Flag/SES leadership. Provide administration and communications support to all customer staff members. Such support will include, but is not limited to: - answering and directing telephone calls and monitoring calendar events on behalf of senior staff members; drafting, reviewing, scheduling and correcting office meeting announcements and correspondence: drafting, monitoring, and routing official correspondence, including communications with high level flag officers/senior executives. Assist with the coordination of Flag/SES level meetings, staff meetings, and functional tasks including preparing staff attendees for the conduct of official meetings, gathering and distributing material in support of meetings, and reviewing and editing of meeting materials for correctness and quality. Travel may be required to support meetings. On average, one travel requirement per month for senior personnel supporting this subtask. Assist staff members with routine administrative support including arranging travel and accommodations for staff members, planning and scheduling local and remote location meetings for staff members. Provide general administrative support necessary for the effective and efficient management and operations of the customer office and its personnel. This includes the implementation of task assignment systems and office calendars (e.g. SharePoint), the storage, documentation, and retrieval of office records, and liaison with IT personnel to correct outages of IT systems among or directly impacting staff members. Maintain a full understanding of Human Resources policies and procedures as they pertain to DOD Civilian Personnel Processing all career like actions in various programs of record. Based on an analysis of workload and workforce constraints provide Activity Manpower Documents (AMD) that accurately reflects prioritized requirements and authorizations. Utilize Billet Based Distribution (BBD) to validate, track, identify misalignments and prioritize billet level detail. Prepare and submit Billet Change Requests, Organizational Change Requests and Table 30’s to align with Activity Manpower Documents. Prepare and provide briefings and reports in support of meetings, and a detailed accounting of actions. Prepare and submit meeting minutes in support of all customer mission supported meetings. Prepare travel orders, arrange flights and hotel accommodations using the government Defense Travel System (DTS). Maintain local travel requirements/execution summaries as required. Process voucher liquidations using Defense Travel System accurately and efficiently. Prepare and submit documentation for Billet Change Requests, Organizational Change Requests and Table 30’s to align with Activity Manpower Documents. Based on an analysis of workload and workforce constraints, provide Activity Manpower Document (AMD) inputs that accurately reflect prioritized requirements and associated authorizations.
