People Coordinator

Hourly rate of £15.27 (37 hours per week) Inside IR35, VIA Umbrella
Mostly Remote: Offices based in either (your Choice): Hampshire, Wiltshire, Somerset, Dorset, Devon, Cornwall or London.
The role is Hybrid. The primary work location will be the closest office to the colleague's home address; however, it is only on rare occasions that anyone is expected to visit the office.
Role Purpose
The role of the People Coordinator is to provide an excellent and credible service to the people team and wider business. The People function is a pivotal part of the business and as such is highly influential in enabling the company to effectively achieve its transformation strategy and ambitions.
The People Operations team are the first point of contact for all leader and colleague queries, information requests, or service requests for the entire People team.
The coordinator will support enquiries and responses and administer transactional processes, i.e., Right to Work renewals, DBS renewals, secondments, fixed-term contracts, probations, and change of contract, which fall within the remit of their experience and capability. The role will also support ongoing HR projects as required.
A core aspect of the role is to ensure all transactional and administration processes are completed accurately and are legally compliant and in line with GDPR requirements; ensuring confidentiality is maintained at all times.
This role reports to the People Operations Lead but supports the whole team in providing a cohesive professional service to all leaders and colleagues.
Key Accountabilities
* Responsible for managing People-related transactional administration, in line with agreed processes, principles, service level standards, and associated time frames.
* Be the first point of contact for all low-level general enquiries from leaders, colleagues, and external bodies, in relation to the employment relationship, using People systems.
* In conjunction with all the People and Payroll teams, collaboratively support a seamless experience for all new and existing leaders and colleagues.
* Where required (and under relevant supervision) provide relevant support to the wider People team, i.e., events or where additional resourcing requirements occur.
* Ensure the timely and accurate use of HRIS to ensure information is correct and enable leaders and colleagues to effectively access information and utilise self-serve options easily and with confidence.
* Ensure the accurate and timely filing and maintenance of electronic personal files within SharePoint, to ensure confidentiality and using GDPR retention guidelines.
* Administer and maintain the HRIS and case management system, in line with relevant legislative, procedural, and GDPR requirements.
Experience and Qualifications
* Educated to GCSE Standard (or equivalent), including passes in English and Maths - essential.
* A recognised HR or CIPD qualification, i.e., Level 3.
* Experience in an HR or similar customer-facing role - essential.
* Understanding of GDPR requirements - essential.
* Be customer and solution-focused.
* Good verbal and written communication, and confident to communicate positively on the telephone/video calls.
* Able to manage own varying workloads effectively, proactively organising work and tasks.
* Good level of IT skills, including Microsoft Office Suite.
