Facilities Manager – Tenterden Kent (on Site) Salary: £38,989 pa DOE plus EOT Tax Free Bonus potential OBJECTIVES To be the primary interface between Shaw FM Services and its clients and partners for the KCC West View Site and in the absence of the Senior Facilities Manager, the KCC Westbrook site. Coordination of operational and customer service functions within the facilities to meet operational and service needs, contract service levels and the achievement of financial requirements. Regular liaison with the KCC Home Manager / Site lead in the facility to ensure that Facilities Management Services are always of the required contractual standard. Support KCC Home Manager / Site Lead to ensure a safe working and living environment enabling KCC / NHS staff to deliver quality care services. To act as the lead for the facility in delivering quality customer focused services, managing Catering, Domestic Services, Maintenance & Portering operations and coordinating maintenance and property issues between Shaw HQ, KCC & EMS (ICS). Prepare Monthly Contract Reports as required, returns and data in a timely and accurately manner. To help promote good relations in a professional courteous and friendly manner with all Shaw staff and external agencies, reporting any areas of concern to the relevant senior manager. Main Responsibilities PRINCIPAL DUTIES To manage contractual & statutory requirements for the facilities under the direction of Senior Facilities Manager, Shaw Head of Hotel Services along with technical support from Shaw Property Services, ensuring KPI’s are met. To manage and communicate with staff and service users of the Kent Care Homes as required. To provide management, direction and support to Catering, Domestic Services, Porterage, Maintenance, Health & Safety, building security to ensure Contractual obligations are met at all times To deliver audited quality services as directed and ensure effective use of resources in providing internal and external customer care ensuring controllable Budgetary spends are achieved or improved on. To encourage the use of best practice in staff teams and identify individual training needs in line with the homes objectives and ensure systems of supervision are in place. To continually review the services with Shaw Senior Management and advise on staffing, skill mix and appropriate minimal usage of ancillary agency support. Assist any re-configuration of services to respond to changing service needs, contract purchasers and legislative aspirations and requirements. To have knowledge of Shaw policies and procedures and to ensure that all Shaw employees are assisted to comply with these. To ensure security and confidentiality of records and information relating to Shaw services are maintained. To organise and run service development and facility user meetings to provide and receive feedback where required. To manage sites communication requirements, telephone systems and major incident support mechanisms. In conjunction with the Facility Maintenance person, deliver fire training relative to fire certificates and facility user requirements where required. Manage and ensure completion of Daily, Weekly, Monthly & PMP maintenance (including Contractor performance), landscaping, health & safety, fire and water testing, Service charges and equipment replacement programs, including Life Cycle, in conjunction with Senior Facilities Manager. Ensure that up to date and accurate Documentation & Record Keeping is maintained at all times to comply with any external Audit Inspections - planned or ad hoc General 1. Hours of work typically Mondays to Fridays but with flexibility for any Out of Hours / Weekends as needed 2. To ensure reports, expenses and time sheets reach senior management as requested and in a timely manner. 3. To deputise for the SFM in his / her absence providing support to the other site. 4. To attend ad hoc meetings & training sessions as required. 5. Other duties as agreed with senior management.
