We have the opportunity for 2 PA's to join either our Construction or Planning team. This opportunity allows you to become one of the go-to people, playing a key role in helping the departments reach their goals. You will be tasked with streamlining processes and identifying efficiencies, enabling you to put your stamp on the role. Youll handle day-to-day support tasks such as diary management, meeting coordination, and travel arrangements. As the first point of contact, youll manage incoming client inquiries via phone and email. Additionally, youll maintain accurate client files and support with onboarding new clients to meet AML and KYC requirements. Youll also draft client letters on behalf of the solicitors and play a significant role in the teams billing process. As the PA you will: Diary Management including the day-to-day organisation and management of fee earners' diaries, coordinating schedules, meetings and appointments. Arrange meetings/ events book meeting rooms and assist with Business Development or Client events. Travel Arrangements plan and book travel arrangements, including applying for any international travel requirements such as visas, ensuring the traveller has the relevant information for their trip. File management regular filing of hard and soft copy client-related correspondence in line with our company procedures. Helping conduct file reviews and other compliance-related tasks. On-board clients prepare client letters and ensure the relevant documentation is completed to meet anti-money laundering and know your client requirements. Enquiry management handle telephone and email enquiries, including responding on behalf of fee earners. Document management occasional copy typing, drafting correspondence and documents (including via Docusign). Downloading documents from external links and creation and management of document rooms. Financial queries producing invoices on a monthly basis, transferring time, processing write offs and various account reporting. We are looking for: Experience of working within a similar secretarial or PA position. Legal secretarial experience is preferred but not essential. PC literate with good working knowledge of Microsoft Office, Word, Excel and PowerPoint. Ability to prioritise your work and ensure deadlines are met.
