Role Description We are seeking a highly organised and efficient Personal Assistant to provide support to our C-Suite Level team members on a fixed term contract - Maternity Cover, until the end of September 2025. The role requires prior experience in executive-level assistance within a consultancy environment. The ideal candidate will have excellent communication and interpersonal skills, be able to multitask and prioritise competing demands, and possess a keen attention to detail. The successful candidate will have experience in a fast-paced environment and will be comfortable working under pressure. The Opportunity Completes a broad variety of administrative tasks for the CEO and members of the Executive team including: managing an extremely active calendar of appointments; inbox management; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings Provides a "gatekeeper" and "gateway" role, creating win-win situations for direct access to the Executive Leadership team’s time and office Liaise with and book external venues for offsite meetings, and assist with on-the-day facilitation. Coordinate with external providers for catering services, if necessary Support travel coordination for Board members and wider team, as needed Format information for internal and external communication – memos, emails, presentations, reports Take minutes during meetings as requested Screen and distribute correspondence from the company info inbox Adhoc research tasks as requested by the Executive Team Other duties as assigned About You A minimum of 3 experience as a PA, ideally supporting C-Suite Executives or senior leadership in a fast-paced environment Professional experience drafting high-level correspondence, reports, and meeting agendas Proven expertise in arranging domestic and international travel itineraries Extensive experience managing complex calendars, scheduling across multiple time zones, and prioritising high-stakes meetings Track record of organising executive-level meetings, managing agendas, taking minutes, and following up on action points Demonstrated ability to handle sensitive and confidential information with discretion Experience in managing high-pressure environments and juggling multiple priorities seamlessly Previous work within digital consultancies and the Technology industry is preferred Proficiency with G Suite and Slack Our interview process: Stage 1 - Screening call with a member of the People team - 20 minutes Stage 2 - Interview with our Executive Assistant - 45 minutes Stage 3 - Final interview with our CEO & Managing Director - 1 Hour Why hedgehog lab?
