Location: We have hybrid working in place, with 1-2 days per week, in our office in Canary Wharf.
What exactly will you be doing?
This is a critical position that provides comprehensive executive support to the Executive Director and Business Manager support to their portfolio senior leadership team (SLT). The successful candidate must be tech savvy, have a passion for efficiency and process improvement, and be able to work collaboratively and in a matrix fashion. In collaboration with two other Business Managers, they will be responsible for ensuring efficient workflows and high-quality support within and across portfolios to ensure business continuity and consistency. They will also line manage a Business Administrator and ensure efficient use of their time and admin resources within and across portfolios.
Major objectives
* Act as a trusted, confidential partner and sounding board to the Executive Director.
* Proactively oversee and manage the Executive Director’s calendar, including scheduling and coordinating meetings and workshops, booking their domestic and international travel, and tracking and managing their tasks and actions, ensuring compliance with deadlines and cyclical reviews.
* Provide social media support for the Executive Director, enhancing their presence and engagement.
* Forward plan portfolio-based board and team meetings, draft and format agendas, briefings, papers and presentations, ensuring they are accurate and on-brand, take minutes and follow up actions.
* Support the Executive Director’s portfolio SLT in achieving their team objectives and coordinate cross-portfolio responses to reports, planning initiatives, and compliance with organisational policies.
* Manage financial documentation and processes to facilitate efficient portfolio budget management.
* Support corporate governance by drafting, coordinating, formatting and proofing relevant board and committee papers and managing relevant meeting logistics and expenses.
What are we looking for?
* Proficiency with Microsoft 365, principally: Teams, Word, Excel, Outlook, Powerpoint and Sharepoint.
* Excellent diary management.
* Excellent communication and diplomacy skills with a range of stakeholders.
* Excellent organisation skills, including multitasking, time and workload management.
* Experienced in senior level support roles.
* Ability to make informed judgements and be a proactive problem solver.
* Experience of an Awarding Body or Professional Body environment is desirable.
* Ability to exercise initiative and pro-activity.
