Role Summary
The IT Equipment Coordinator works alongside the IT Support Technician role and sits in our in-house IT Infrastructure team, whose core focus is on end user services (PCs, collaboration & unified communications, mobiles, networks, printers, security) and associated services (Office 365, Azure AD, Sophos, UCaaS). These services are delivered via the team itself and several suppliers / service providers. This is an entry role into IT and for the right person, this could lead onto progressing into a more IT focussed role. No formal IT qualifications or experience is required and it would suit someone with a background in business or general administration. There are also physical elements to the role and the team are expected to meet demanding requirements for the business to comply with set deadlines.
Role focus may vary depending on assignment and will comprise of one or more of the following:
* Managing end user IT hardware and equipment
* Business administration support, ordering of supplies, supplier administration
* Providing basic user support
* Supporting IT projects as required
* Any other reasonable duties as requested by line manager
Main Duties And Responsibilities
Hardware and equipment management
* Ensure IT equipment is shipped and tracked to sites, suppliers, or end users.
* Ensure that all hardware is logged and can be tracked as and when equipment moves around the organisation.
* Conduct basic repairs to laptops to keep them in service.
* Consult with hardware suppliers to ensure equipment is maintained.
* Maintain an accurate inventory of hardware and software assets including applicable licences for business systems.
* Manage mobile phones, configuration, and support.
* Administer the Joiner-Mover-Leaver process including at times arranging the issuing and recovery of IT & telephony equipment, peripherals, and licenses.
IT Business administration
* Place orders; raise purchase order requests.
* Perform supplier administration (including filing of orders, invoices, and service reports).
Cover for First Line User support
* Respond to first line user support requests received including via phone, email or in person, ensuring that requests are recorded appropriately.
* Investigate issues and raise tickets with other teams / service providers as required.
* Follow standard operating procedures to:
* Deliver a defined set of service request types.
* Resolve basic support request scenarios.
* Escalating more complex support requests to more senior colleagues.
* Ensure support tickets are managed in line agreed SLA's, tracking progress of issues and tickets, and responding to end users.
Support IT infrastructure projects may include:
* Co-ordinate and complete assigned work packages such as roll out of desktop refresh and OS migrations, tooling changes, file-share migrations, printer replacements etc.
* Update IT devices to ensure system security – e.g. applying windows patches, security policies.
* Office moves and changes.
* Chaperoning suppliers when on-site

Essential Experience, skills and knowledge required for the role:
* Effective communication skills, verbal and written
* Well organised and disciplined
* Attentive to detail and focused
* General IT, Internet, and software literacy
* Competent in the use of Microsoft software packages (Outlook & Excel)
Desirable:
* Analytical and logical approach to problem solving
* Experience in a similar role/helpdesk function
* Experience of Helpdesk systems
* Good firsthand IT hardware troubleshooting experience
* Be able to replace key parts of a laptop (or be able to learn)
* Knowledge of Microsoft 365
* Windows 10/11 operating system knowledge
* General IT security awareness
