The Central Scheduling Specialist plays a pivotal role in managing and coordinating patient appointments across various specialty offices and outpatient testing modalities. This role is essential in ensuring a seamless, efficient, and positive experience for patients, from the scheduling of their appointments to the verification of their coverage information. The specialist is responsible for accurately transcribing orders received via fax, verifying all required information is obtained, managing work queues, and ensuring all necessary scheduling activities are completed in a timely and accurate manner. The role is key in helping the servicing departments meet their volume metrics and provide efficient patient care.
Duties and Responsibilities:
1. Schedule, confirm, reschedule, and verify patient appointments for specialty offices and outpatient testing modalities in CNE’s electronic health record (EHR) system.
2. Maintain accurate patient records and appointment schedules in the electronic health record (EHR) system.
3. Collect, verify, and accurately document patient insurance coverage and demographic information to ensure timely processing of payments.
4. Provide patients with clear instructions for pre-appointment preparation and follow-up, as necessary.
5. Transcribe orders received via fax and ensure proper documentation and scheduling of related appointments.
6. Manage and maintain a high volume of incoming calls and appointment requests, ensuring timely follow-up and resolution.
7. Communicate clearly and empathetically with patients to gather necessary information, confirm appointment details, and explain pre-visit instructions.
8. Coordinate with clinical and administrative teams to ensure scheduling availability and efficiency.
9. Serve as a liaison between patients and offices/providers.
10. Resolve any scheduling conflicts or issues, working proactively to offer alternative dates and times to patients as needed.
11. Maintain a high level of customer service by addressing patient inquiries, concerns, and issues in a professional and empathetic manner.
12. Collaborate with team members and leadership to improve scheduling processes and overall patient satisfaction.
13. Perform all other duties assigned.
Requirements:
1. High School or GED is required.
2. 1-3 year(s) of experience working in a health care and/or customer service position.
3. Previous experience scheduling in a medical office, hospital, or healthcare setting preferred.
4. Spanish and/or Portuguese Bilingual preferred.
