We are looking for a highly motivated and enthusiastic individual to join the Mental Health Legislation, IG & Medico Legal Team for a Secretarial role.
The post holder will be required to provide excellent secretarial support which includes minute taking at senior level for the Associate Director of Mental Health Legislation, IG and Medico Legal team. They will be responsible to coordinate and minute the Mental Health Legislation Steering Group (MHLSG) and any other meetings within the Mental Health Legislation, IG and Medico Legal team framework.
The post holder will support the Mental Health Legislation administrators based at St Nicholas Hospital, with admin duties. You will require excellent verbal and written skills, and the ability to communicate effectively at all levels both within and outside the Trust.
We are looking for someone with the ability to be flexible and possess good organisational and secretarial skills. Experience of minute taking at senior level and diary management is essential. The ability to prioritise a constantly changing workload is required along with excellent IT skills, as is the need to act on your own initiative.
Main duties of the job
They will assist the Mental Health Legislation Specialist in preparation of agendas, taking minutes, and following up action plans etc for the MHLSG meeting.
They will provide support to the senior team members, including managing the diary for the Associate Director, coordinating and arranging meetings with the Trust board members and trust Execs.
They will work within well-defined administrative systems and processes to deliver the secretarial support and also work with the Mental Health Legislation team with admin duties and responsibilities effectively as and when directed.
The successful candidate will be:
* expected to liaise and communicate effectively with all levels of staff within the services, wider Trust and external partners.
* Taking minutes regularly at board level, so must be a competent minute taker and following-up actions and the distribution of papers in a timely manner.
* To produce/update/amend reports, documents and PowerPoint presentations in a timely manner.
* Diary management via Outlook, booking meetings and venues.
* Confident, motivated and enthusiastic.
* Well-organised and structured.
* Experience of working in a secretarial role.
* Accurate typing and note-taking skills.
* Excellent interpersonal communication skills, both written and verbal.
* Have good organisational and planning skills.
* Be able to prioritise and process information.

Person Specification
Education & Qualification
* Word Processing skills at Level 3 (OCR/RSA Level 3 or equivalent qualification and/or demonstrable relevant experience) e.g. NVQ Level 3 in Business Administration.
* General Level of education to O-Level / GCSE or equivalent.
* NVQ Level 3 in Customer care (or equivalent).
Knowledge & Experience
* Knowledge of NHS Policies and Procedures.
* Working knowledge of Microsoft applications, including e-mail communication.
* Ability to maintain and update Patient Information Systems e.g. RiO.
* Good working knowledge of office procedures.
* Previous secretarial/clerical experience.
* Ability to uphold confidentiality at all times.
* Able to prioritise and plan own workload.
* Excellent communication and interpersonal skills, both verbal and written.
* Good organisational and planning skills using own initiative.
Role/ Team Specific requirements
* Flexible attitude to cope with fluctuating workloads and the occasional requirement to cover other areas in cases of staff absence.
