We have 2 exciting opportunities to join our Medical Secretary Team.
Position 1 - Part-Time for 22 hours per week Wednesday, Thursday and Friday to cover Maternity Leave for 9 months starting in February 2025.
Position 2 - Part-Time for 20-24 hours per week Monday, Tuesday, Thursday and Friday afternoons on a permanent contract with a start date as soon as possible.

Main duties of the job
Providing an efficient audio and copy typing service for GPs and health professionals which includes the typing of letters, reports, patient referrals, minutes, etc. in an accurate and quality manner.
Liaising with clinicians, administration staff, secondary care clinicians and their secretaries, patients, and other external organisations.
Actioning all incoming email and all administrative queries as necessary and ensuring referrals are processed efficiently.
Monitor daily tasks ensuring the workload is prioritised throughout the day.
Supporting all clinical staff with general administrative tasks as requested.

Measham Medical Unit is a friendly and supportive GP practice based on the outskirts of North West Leicestershire, providing services to patients in North West Leicestershire, Staffordshire, Derbyshire and Warwickshire.
We have a team of 6 GP Partners who are supported by an excellent diverse clinical team comprising of Salaried doctors, Clinical Pharmacists, a Pharmacy Technician, a Paramedic, Physicians Associates, an Advanced Nurse Practitioner, a Physiotherapist, 4 Practice Nurses, 4 Health Care Assistants and a Mental Health Facilitator.
We have a well-established and cohesive Management Team made up of 7 members, including a dedicated Office Manager.

Job responsibilities
The following are the core responsibilities of the Medical Secretary. There may be, on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:
1. To provide an efficient audio, copy typing service for GPs and health professionals as required. This includes the typing of letters, reports, patient referrals, minutes, etc. in an accurate and quality manner.
2. To liaise with clinicians, administration staff, secondary care clinicians and their secretaries, patients, and other external organisations, actioning all incoming email and all administrative queries as necessary and ensuring referrals are processed efficiently.
3. Managing all enquiries in an effective manner.
4. Actioning all incoming email into the secretary specific email account.
5. Monitor daily tasks ensuring the workload is prioritised throughout the day.
6. Scanning patient related documentation and attaching scanned documents to patients healthcare records.
7. Inputting data into the patients healthcare records as necessary.
8. Processing referrals using both the electronic referral system (ERS) and manual systems.
9. Processing requests for information i.e., SAR, insurance/solicitors letters and DVLA forms.
10. Raising invoices for the above and chasing payment as required.
11. Coding data on the clinical IT system (SystmOne).
12. Answering incoming phone calls, transferring calls, or dealing with the callers request appropriately.
13. Managing all administrative queries as necessary.
14. Carrying out system searches as requested.
15. To maintain confidentiality of patient information at all times.
16. Supporting all clinical staff with general administrative tasks as requested.
17. To support the Business Manager with clerical and administrative duties.
18. To provide cover for members of the secretarial team during periods of sickness and annual leave.

* Educated to GCSE in Mathematics and English (C or above).
