Job summary
You will be responsible for ensuring compliance with all aspects of document control policy and process for the Engineering function at the Port of Dover. You will be the primary overseer for all aspects of document & record management and governance within both the document management system and asset management maintenance systems.
You will implement and maintain document control processes overseeing compliance with both internal and external standards and regulations.
Be the point on contact and responsible for all Engineering Document control training for business process and systems. You will also act as the gatekeeper for all documentation data and systems structures, workflows, Quality management, governance and assurance for whole asset life cycle management of Port Engineering documentation.
Some of your duties will include, but not limited to:
- Providing tactical day to day oversight within projects to facilitate the smooth collation and handover of documentation data in approved format
- Playing an integral part in the function of operational maintenance documentation, ensuring the compliance with appropriate internal and external standards.
- Quality checking data and documentation to ensure its compliant with PoD standards and rejecting where it is not
- Setting up and overseeing documentation workflows, statuses, approvals to align with Port standards for governance and assurance.
- Managing DMS IT systems access, explaining how to use the system to users, administration, and system configuration.
Skills and Qualifications
* GCSE's Grade 4 or above to include Maths and English
* Extensive document control experience, managing documentation from project inception through every stage of an assets life cycle
* Experience of working with and managing Document Management Systems
* Good understanding of Asset Management
* Excellent working knowledge of MS Office applications to include: Word, Excel (formulas and macros) and Outlook
* Good working knowledge of MS Power query for automation of routine data tasks and problem solving or a demonstrable ability to learn Power Query
* Full UK driving licence and use of own vehicle
