Working as part of a small team of 3, the sales administrators are responsible for supporting the sales cycle from end-to-end and maintaining the highest level of customer service throughout. The team ensure that the office runs smoothly, whilst monitoring the phones and shared inboxes. They respond to both customer and internal requests in a timely and professional manner.
Key responsibilities:
* Maintain an organised shared inbox by frequently monitoring, allocating and managing email requests amongst the team.
* Manage the end-to-end quote process – raising deal registrations; negotiating cost savings; working with currency conversions and regional tax programmes; producing customer renewal and new business quotations.
* Managing the end-to-end order process – checking/validating POs; raising orders onto suppliers; managing delivery through to completion; obtaining the required paperwork for compliance sign off; providing after-sales support (warranty, returns, supporting finance team with invoice queries, issuing renewal reminders).
* Assist in the preparation of sales proposals, statement of works and customer order forms.
* Pro-actively and regularly contacting sales directors to discuss forecasting, next actions within the sales cycle and specific needs in connection with live opportunities.
* Supporting the sales directors by setting up pre and post sales meetings (mainly on MS teams).
* Responsible for updating records on Salesforce, maintaining partner and customer portals.
* Sales Reporting (varied; including systems generated & excel based reporting).
* Supporting the marketing team with order processing, reports and data gathering when required.
* Manage office facilities; re-stocking stationary, IT equipment, kitchen and print supplies.
* Allocate/source additional resource for specific requirements as required.
* Co-ordinating project roll outs as required.
* Ensure that all company policies, procedures, and safety standards are consistently followed.
* General administration support as required by the CEO or internal teams.

* Beneficial but not essential; familiarity with using Salesforce, shared inboxes and managing a varied workload as part of a team.
