Alderley Edge Medical Practice are looking for one or more enthusiastic, understanding, flexible, well-organised person or people to join our busy Doctors surgery as a Medical Receptionist.
We have two sites, one in Alderley Edge Village and one in Prestbury Village, serving around 8300 patients. We have a fabulous and experienced team of Receptionists, led by our Reception Manager, Rachel.
The practice clinical team consists of 6 GP Partners, 1 Salaried GP, GP Registrars (depending on rotations), 3 Practice Nurses and 2 Healthcare Assistants who are all supportive and caring.
Applicants must be available to work both morning (starting at 7.30 or 8am) and afternoon shifts (finishing at 6.30pm). We are looking for applicants to work across both of our sites across Monday, Tuesday, Thursday and Friday. Working days will be discussed at interview and we are looking for someone with flexibility to provide cover for holidays and sickness.
The right candidate will be able to join the NHS Pension Scheme, and take 20 days annual leave (pro-rata) including bank holidays. After one year of service you will be entitled to the uniform vouchers scheme and we have various other benefits and incentives.
Previous experience of working in a GP Practice is preferable but not essential as training can be provided. Only shortlisted candidates will be contacted.
Main duties of the job
The duties and responsibilities may include any or all of the items in the following list. Duties may be varied from time to time under the direction of the Reception Manager or Practice Manager, dependent on current and evolving practice workload and staffing levels:
* Opening up/locking up of practice premises and maintaining security in accordance with practice protocols
* Maintaining and monitoring the practice appointments system
* Processing telephone requests for appointments, visits and telephone consultations, and ensuring callers are directed to the appropriate healthcare professional
* Processing and distributing incoming (and outgoing) mail
* Taking messages and passing on information
* Filing and retrieving paperwork
* Processing repeat prescriptions in accordance with practice guidelines
* Computer data entry/data allocation and collation; processing and recording information in accordance with practice procedures
* Initiating contact with and responding to requests from patients, other team members and associated healthcare agencies and providers
* Providing clerical assistance to practice staff as required from time to time, including word/data processing, filing, photocopying and scanning.
* Provision of refreshments for staff and visitors as required; loading and emptying the dishwasher and keeping the kitchen area clean and tidy.

Job summary
To support the clinical team by signposting patients to the appropriate healthcare professional or service, working as part of a multidisciplinary team. The position will be to undertake reception duties as part of the role, supporting the administrative team in delivering a polite and professional service to the patient population. This will include daily duties as part of task list, open and close as required, and managing administrative duties to support the clinical team and patients.

Confidentiality
This Practice is committed to maintaining an outstanding confidential service. Patients entrust and permit us to collect and retain sensitive information relating to their health and other matters pertaining to their care. They do so in confidence and have a right to expect that all staff will respect their privacy and maintain confidentiality at all times. It is essential that if the legal requirements are to be met and the trust of our patients is to be retained that all staff protect patient information and provide a confidential service.
Induction Training
On arrival at the Practice, all personnel are to complete a Practice Induction programme which includes mandatory online training as part of the induction plan; this is managed by the Receptionist Manager.
Service Delivery
Staff must adhere to the information contained within Practice policies and regional directives, ensuring that protocols are adhered to at all times. Staff will be given detailed information during the induction process regarding policy and procedure.
Security
The security of the Practice is the responsibility of all personnel. Staff must ensure that they remain vigilant at all times and report any suspicious activity immediately to their line manager. Under no circumstances are staff to share the codes for the door locks with anyone and they are to ensure that restricted areas remain effectively secured.
Staff Uniform
All staff are required to dress appropriately for their role. Administrative staff will be provided with a uniform voucher after one year of service.
Leave
All personnel are entitled to take leave. All of their staff are offered the opportunity to take a minimum of 20 days (pro-rata) leave as well as bank holidays each year and are encouraged to take all of their leave entitlement.
Primary Responsibilities
The following are the core responsibilities of the Administrator / Receptionist. There may be, on occasion, a requirement to carry out other tasks; this will be dependent on factors such as workload and staffing levels:
* Process and effectively signpost patients to the appropriate healthcare professional depending on the presenting condition
* Answer incoming phone calls, transferring calls or dealing with the callers requests appropriately
* Process patient requests for appointments
* Process repeat prescription requests
* Initiate contact with and respond to requests from patients, team members and external agencies
* Input data into the patients healthcare records as necessary
* Photocopy documentation as required
* Data entry of new and temporary registrations and relevant patient information as required
* Manage all queries as necessary in an efficient manner
* Maintain a clean, tidy, effective working area at all times
* Monitor and maintain the reception area and noticeboards
* Support all clinical staff with general tasks as requested
* Scan patient-related documentation and attach scanned documents to patients healthcare records
* Complete opening and closing procedures in accordance with the duty rota
* As required, support other staff in the management of repeat prescriptions, ensuring that they are processed accurately and efficiently
* Order and monitor stationery supplies
