JOB PURPOSE
To work flexibly across two very busy offices, with supervision from Band 4 staff, as part of a team providing full and comprehensive administrative support to the consultants and other clinical staff in the teams and provide assistance and support to the rest of the medical secretarial team. To undertake a range of administrative duties for the services, to ensure patients' health records are maintained to the highest standard, appointments and supporting clinic correspondence are sent to patients and other medical professionals in a timely way and that patients are dealt with effectively and efficiently when contacting the Trust. This will involve the use of various IT packages, including PAS, Winscribe (digital dictation system) and Microsoft Office packages. Ensure all routine clinical information and correspondence is up to date and available when required.
MAIN DUTIES AND RESPONSIBILITIES
1. Provide a comprehensive administrative service to clinicians and clinical teams in conjunction with the Senior Team Secretaries.
2. Responsibility for supervising the workload of the band 2 admin support clerks.
3. Have knowledge of the Trust's Did Not Attend policy and ensure procedures are followed correctly.
4. Liaise with the scheduled care team to prepare day case injection lists.
5. Chase patients' investigations and results as required to ensure a timely pathway through the department.
6. Comply with RTT rules and Trust Patient Access Policy.
7. Support clinicians with clinic rescheduling requests.
8. Cash up attendances on PAS.
9. Coordinate the administration of extra capacity clinics, community clinics, and Functional Restoration Programme clinics.
10. Receive phone calls from patients, relatives, and GPs, ensuring they are dealt with in a timely manner or passed to the appropriate Secretary as required, maintaining the highest possible customer care at all times.
11. Communicate with other departments across the Trust as required.
12. Liaise with hospitals and GP surgeries for information.
13. Photocopying and faxing/emailing documents as required.
14. Open and distribute post, prioritizing any urgent post and ensuring relevant documentation is attached in addition to acting promptly and appropriately to all e-mail correspondence.
15. Track case notes in and out of departments.
16. Ensure loose filing is amalgamated with case notes within the department or health records.
17. Liaise with appropriate staff in making routine appointments or cancellations as directed by the Personal Medical Secretaries.
18. Report equipment faults to the IT department, particularly in respect of the digital dictation system and equipment, using the online hospital IT portal or by telephone.
19. Request radiology images as required by clinicians, using the IEP electronic system.
20. Deputise for the Personal Medical Secretaries on an ad hoc basis, for annual and sick leave.
21. Participate in personal appraisals and personal reviews and work to achieve agreed set objectives.
22. Participate in appropriate training and development activities.
