Coordinating, collating papers for meetings, ensuring governance is of the highest quality and all data is recorded and stored. Co-ordination and facilitation of internal meetings, supporting the ADO/HoEPRR externally at events involving key stakeholders. Providing governance support to the wider EPRR team and producing analytical reports that underpin internal departmental and Trust performance management reviews, as well as evidential support to commissioner contract management reviews as and when required. Ensuring a central database of EPRR and business continuity documentation and data that is accessible and navigable to those not familiar with this area of business, this will also underpin and provide real time evidence in relation to the annual NHS EPRR self-assessment assurance process Progress and chase actions generated through internal and external engagement to ensure timeliness of delivery, quality and thus maintaining high standards and a positive reputation with key stakeholders. Management of the governance cycle in terms of guidance and plan reviews and development. Including circulating key information as directed or agreed protocols Quality assurance of all EPRR related education and briefing presentations and lesson plans to ensure consistency, currency in line with relevant guidance and legislation. Co-ordination of training and exercise events, support in the development and delivery of events and exercises where required. Co-ordinate and maintenance of training records. Support the ADO / HoEPRR in the oversight, recording and analysis of relevant budgets. Working with the EPRR Managers to ensure the maintenance and reviews of Trust Emergency Plans, policies, and procedures. Support the preparation of papers for policies, plans and procedures reviewed or created by the team for submissions to the Risk Safety and Governance Group / Quality and Governance Committee and follow up for review, release and distribution. To support the ADO / HoEPRR in the preparation of regular progress reports and briefings for the Resilience Team, Directors and Stakeholders on emergency planning and business continuity matters. To work with the EPRR and appropriate teams to ensure the preparedness and if necessary set up of the Trust Regional Coordination Cell in preparation for/at the start of a Major Incident or event. Ensure that updated copies of the Major Incident Plan and Business Continuity Plans are accessible by those required to use them. Undertake research as and when required using electronic and paper-based resources to gather, analyse and report a limited range of data and information. Modify, structure, maintain and present data and information. Monitor and follow up key milestones in projects/initiatives as required and take prompt corrective action when activities are not consistent with plans. Ensure that everyone involved in specific aspects of projects/initiatives is provided with relevant and appropriate information. Prioritise, organise and manage own workload without supervision, to identify matters that require urgent attention to the relevant individual and draft/initiate routine replies as appropriate. Excellent skills using a full range of Microsoft Office and/or audio programmes for preparing data, documents and correspondence, also sending and receiving all types of message format. To work out of hours when the occasion demands to support the requirements of the Trust. To undertake training relevant to the role. Undertake continual personal development and training to enhance skills and expertise including training in emergency planning and business continuity. To manage and populate the EPRR related on call rotas.
