About the Role
Morrison Water Services is currently looking to recruit a maternity leave cover Contract Support Manager to work on our Thames Water Infrastructure Programs contract covering London and Thames Valley for 9 months.
As the Contract Support Manager, you will be a highly organised, efficient multitasker and flexible individual who is keen to be part of a vibrant office environment. You will provide support to the Senior Management Team and ensure that the MWS Infrastructure Programmes run smoothly and efficiently.
The office will have approximately 30 personnel, hot desks and multiple meeting rooms and be shared with other contractors and clients. The role also provides ad hoc support to business development and support where required to contract senior managers.
Your Duties and Responsibilities will include:
1. Management of office facilities, including liaison with the building landlord
2. Management of support services
3. Managing the admin team
4. Ensuring satisfactory IT services, escalating to Internal IT help desk, where required and oversee problem resolution
5. Branding and environment to show a professional image
6. Maintaining sickness, absence and holiday information
7. Assistance with ensuring all legal HR policies are in place and up to date
8. Assist with maintaining all data protection regulations and GDPR regulations
9. Scheduling and organising conferences and events
10. Maintain filing systems and office organisation
11. Compilation of various reports within strict timescales
12. Coordination of Senior Management team diaries
13. Prioritising and drafting correspondence, reports and presentations etc, using Microsoft Office products
14. Collation, production and dissemination of monthly newsletters and internal communication updates
15. Supporting with new starters and leavers within the contract
16. Arranging fleet for new starters and managing fleet within the contract
17. Looking after IT for the contract, systems, charges and support
18. Supporting procurement team
19. Payroll and Overtime for the contract, assisting with timesheet support
Skills and Knowledge Requirements:
1. Knowledge of Microsoft office tools, marketing and presentation tools (PowerPoint, Excel, Word, Outlook)
2. Understanding of business communication tools and processes
3. Self-motivated and able to work on own initiative, with excellent planning and time management
4. Effective communication skills whilst maintaining high levels of confidentiality
5. Efficient and well-organised individual, with the ability to continually reprioritise workloads to meet tight deadlines
6. Strong teamwork skills
You must have at least 3 years experience as a site secretary/document controller and be used to using systems such as 4 projects / viewpoint / fieldview / Microsoft word etc.
The role includes, but is not limited to:
1. Answering calls and taking accurate messages
2. Full secretarial support to the Site team
3. Track and log all incoming and outgoing post especially letters of importance
4. Set up and maintain filing systems
5. Recording, checking and tracking all incoming and outgoing project documents
6. Ensuring appropriate personnel (including project personnel and subcontractors) are issued with up-to-date documentation
7. Ensuring all management system documentation is the latest version and is easily accessible
8. Updating document/drawing registers and obtaining relevant system records and project documents
9. Maintaining relevant registers and libraries
10. Preparing regular project reports for Project Managers with current registers
11. Ensuring that all documentation is transmitted in accordance with the project guidelines
We are looking for the following experience/skills:
1. Experience using 4Projects and Viewpoint
2. Experience in a similar role as a document controller with a construction contractor
3. Excellent demonstrated skills in organising own workload, communication and collaboration
4. Can-do attitude
5. Proactive
6. You must be professional in your approach and will need to be able to work under pressure and to tight deadlines
