EXPERIENCED PROJECT ASSISTANT PROVIDING FULL ADMINISTRATIVE SUPPORT PLUS TO THE FOLLOWING:
Talented project assistant/admin support/secretarial role to support 2 Senior Project Managers and provide additional support throughout the office where required.
A full-time role comprising:
1. Proactive management of inboxes and emails, assisting where can/flagging with technical team if urgent response required.
2. Preparation of contract certificates (and issuing within the time constraints as detailed within the contract).
3. Audio typing, formatting, and issuing of minutes and reports.
4. Diary management (although a lot of the Technical Team do this themselves).
5. Arranging regular meetings with clients and contractors.
6. Setting up and updating projects.
7. Formatting and issuing of weekly site reports.
8. Updating accommodation schedules, chasing and compiling handover documentation and preparation of handover forms.
9. Logging and monitoring defects and arranging yearly defects inspections.
10. Updating individual project and contact details in the practice intranet.
11. Keeping electronic project files up to date.
12. Preparation of contract documents.
13. Preparation of tender documents.
14. Building relationships with clients, contractors, and other stakeholders.
General Office duties to be shared with other admin team members:
1. Opening and distributing post.
2. Reception duties.
3. Telephone answering.
4. Preparation of meeting room when required.
5. Filing/archiving.
6. Assisting other support staff as needed and covering absences.
7. Assisting with auditing and implementation of QA and Environmental ISO Standards.
The ideal candidate must be proficient in Microsoft Office and have excellent Word, Excel, and Outlook skills:
1. Excellent attention to detail.
2. Proactive nature and ability to work under own initiative when technical staff are out of the office.
3. Ability to manage your time and workload but work to tight deadlines.
4. Ability to multitask.
5. Professional, friendly, hands-on, willing to muck in.
6. Work closely with the technical and support team.
