Job overview
Applications are invited from candidates who are suitably qualified in clerical work to join our busy secretarial team within the Orthopaedic Department at North Tyneside General Hospital.
The successful candidate will work with the secretaries in the department to provide a comprehensive clerical and secretarial service to the team of Consultants and Specialist Nurses within Surgery. You will be required to transcribe clinical documentation using the Trusts’ digital dictation system. You may also be required to act up to be a Team Secretary for short periods of leave once settled into the role.
The post holder must be able to use their own initiative, work under pressure, keep to strict deadlines and have excellent organizational, interpersonal and communication skills. It would be an advantage if you possess OCR / RSA III typewriting, word processing or equivalent experience, and knowledge of IT packages and their applications.
Main duties of the job
The successful candidate will support the orthopaedic admin teams within Surgery. You will use the trusts Patient Administration System (PAS) which is required to transcribe clinical documentation using the Trusts’ digital dictation system. You may also be required to act up to be a Team Secretary for short periods of leave.
The post holder must be able to assist in the general efficient running of sub-speciality offices including typing/G2 transcription, filing, retrieval and storage of patient records, handling post and dealing with telephone enquiries.

Detailed job description and main responsibilities
• Work as support to all sub-speciality secretarial teams providing general office duties supporting the clinical care of patient.
• Reports to Lead Secretary.
• Deputises for Band 3 during leave absences.
• Transcription of clinical & non-clinical documents
• Office support:
• reception/telephone enquiries, collecting & opening post, filing, photocopying, messenger, faxing
• PAS Case Note Manager
• PAS data input for admissions/transfers/discharges/OP clinics
• Provides holiday/sickness cover for clerical posts (including ward clerks) within the business unit
• Maintains stationery cupboard
Person specification
Qualifications / Professional Registration
* Educated to GCSE level or equivalent in three subjects including English and Mathematics Grade A-D or equivalent experience to demonstrate good numeracy or literacy skills
* NVQ Level 2 in customer care/admin or equivalent experience
* RSA 3/OCR (or equivalent)
* ECDL
Experience and knowledge
* IT skills in the use of Microsoft products (Word, Excel etc.)
* Knowledge of office equipment and systems
* Medical Secretary Training
* Experience of working in hospital-based Health Records or related service within the National Health Service
