Role and Responsibilities
We are looking for an agile, creative and enthusiastic Sales Support Specialist to support our global sales team in the US time zone to meet its targets. In this role, you will be providing administrative and operational support to the sales team, especially by managing all the international events in the Americas, exhibitions, conferences arrangements, as well as by managing the sales process and sales meetings. You will work closely with the marketing team to make sure the sales team has everything it needs for top-notch performance.
The job involves a hybrid working arrangement, including office-based work, home office, and remote working environments such as conferences or customer events. As the primary organizer, you are required to travel and actively participate in 3-5 events per year, with responsibilities encompassing all aspects of event organization. The role offers flexible work schedules and requires a customer service-oriented mindset. Flexible working hours are necessary as some work events may occur on weekends.
To be successful in this role, the Sales Support Specialist should be proactive, taking initiative and addressing issues before they arise. They should also be self-motivated and driven to achieve goals without needing constant direction. Furthermore, they should consistently exceed expectations, setting a high standard for themselves and others.
Responsibilities:
1. Plan, organize, and participate in conferences and exhibitions. This includes but is not limited to: event sponsorships, event budgets, exhibition booth design and setup, event logistics, solving problems.
2. Support the sales team: pre-sales email campaign, CRM campaign.
3. Operate the sales helpdesk, administrative assistant of Chief Commercial Officer (CCO).
4. Organize internal meetings, client meetings, internal events, and training.
5. Maintain meeting records, working with databases in Excel and Google Sheets.
6. Prepare reports for sales team meetings based on issued invoices, sales results, sales forecasts, leads, and CRM.
7. Support and handle invoicing and contract renewals.
8. Other sales activities, depending on your background and experience, including tender support, etc.
Qualifications:
1. Suitable business administration education, B.Sc. or equivalent.
2. Experience in international conference and exhibition coordination.
3. 3-5 years of relevant work experience.
4. Fluent written and spoken English (no need to speak Finnish).
5. Excellent project management and problem-solving skills.
6. Ability to work completely independently and proactively.
7. Strong communication skills and customer-oriented.
8. Goal-oriented, organized, and able to manage time.
9. Office365 (Excel, Word, PowerPoint) skills.
10. Google Workspace (Docs, Sheets, Slides, Forms, Calendar) skills.
What is seen as an advantage:

4. Experience using CRM systems (e.g. Hubspot, Salesforce).

Additional information:
