Description
The Business Café Assistant / Administration Assistant will be responsible for supporting the operations of the Flint Bishop Business Café at our headquarters, as well as providing support as and when required in the Administration team.
The Business Café provides hot and cold food, beverages and a range of other refreshments for the firm's employees and its visitors. The Business Café Assistant / Administration Assistant will have a key role in ensuring all users of the Business Café receive excellent experience.
The Business Café Assistant / Administration Assistant role will cover a range of disciplines to ensure the Business Café runs efficiently, is always clean, well maintained and presented, and offers all internal and external visitors a place to relax/dine during break times, or for informal meetings during the day.
Working alongside our Administration team and reporting to the Office Services Manager, the Business Café Assistant / Administration Assistant will be responsible for their own day-to-day tasks in addition to the following key tasks, processing internal & external post, scanning & photocopying and file closing on behalf of fee-earning departments.
This role is based at our Derby head offices at Pride Park, Monday to Friday.
Key Responsibilities
1. Ensuring effective operations for the Flint Bishop Business Café daily.
2. Setting up the Business Café each day, replenishing stock, and ensuring displays remain in good order for core café operating hours.
3. Preparing and serving of hot and cold food and beverages using the equipment provided in the Business Café area.
4. Taking and processing payments for items purchased in the Business Café.
5. Stock rotation of food and beverages, ensuring minimal waste.
6. Stock taking, ordering stock, and receiving deliveries of stock for the Business Café.
7. Managing supplier relationships to ensure the services are maintained.
8. Clearing and cleaning of the Business Café tables, waste bins and seating areas, before, during and after core hours of service, to ensure the areas are clean at all times.
9. Being fully accountable for guest and staff experience at the Business Café.
10. Ensure health & safety is maintained for the staff, visitors and other Business Café workforce.
11. Assisting the admin team as and when required, completing the following tasks: Sorting and distributing external and internal post, delivering internal post, operating the franking machine and preparing evening post ready for collection.
12. Photocopying documents for fee-earning departments, this requires attention to detail and time management.
13. Answer internal admin queries and requests from all departments.
14. Manage and distribute stationery, refreshments and cleaning products where required.
15. Receive deliveries and distribute to the appropriate individual.
16. Assist our fee-earning department with tasks where required, this can include opening & closing files, filing & scanning.
17. Assist fee-earning departments as required with file closing.
18. Any other project set by the Office Services Manager.
Skills, Knowledge and Expertise
You will:
1. Have previous experience of managing the daily operations of a busy café/coffee shop ideally in a commercial/hospitality setting.
2. Have previous catering/barista experience.
3. Have previous support with administrative tasks.
4. Ideally have a basic food hygiene certificate.
5. Be flexible in your approach to work to meet the needs of the business.
6. Be experienced in working in a fast-paced environment.
7. Be a good team player with a can-do attitude.
