An opportunity has arisen to join our Wescot team in our Hull City Centre office as a Part Time Receptionist. The purpose of this role is to contribute to the smooth running of the Company’s reception area, ensuring all duties are conducted accurately and in a timely manner.
This is an office based role working 1 day per week.
Some of the key responsibilities include:
* Provide visitors and clients with a professional and courteous welcome, signing them in and out of the visitors’ book and completing confidentiality documentation as required.
* Take incoming calls on the Avaya One-X Attendant phone system, ensuring calls are dealt with quickly and in an appropriate manner.
* Control the fob access system including:
o Issuing badges for new starters, visitors including contractors and colleagues who have forgotten their fobs, ensuring restricted access controls are approved.
o Taking photos of new starters and producing their photo ID card.
o Ensuring the Starter, Mover, Leaver process is adhered to, updating PACS system and relevant spreadsheets.
o Producing monthly access reports for audit purposes.
* Weekly coordination and allocation of on-site parking.
* Undertake Health & Safety related duties including:
o Maintenance of the DSE Assessment Log, ordering and issuing DSE equipment and updating the log for all UKDS sites.
o Weekly testing of the Hull Fire Alarm with Facilities Assistant.
o Ensuring sanitizing stations are stocked in Facilities Assistant’s absence.
o Update all H&S posters for all UKDS sites.
* Record all stationery requests for all UKDS sites on the Stationery Log, along with stock controlling, liaising with suppliers on procurement and costs, and placing orders in a timely manner.
Knowledge, Skills & Experience:
* Previous experience of working within a reception or high volume call taking environment is desirable, but not essential.
* Experience in dealing with suppliers of goods and services and the general public would be advantageous.
* Excellent communication skills are a must, with an ability to positively interact with colleagues, customers, and clients.
* Able to demonstrate high levels of planning, prioritization, and organizational skills.
* Good knowledge of Microsoft Office, specifically Word, Excel, PowerPoint, and Outlook.
* Ability to work confidentially with integrity and discretion.
* A flexible approach with the ability to work under pressure.
