Our client is seeking an experienced Administrator to assist them urgently at their city centre-based Bristol office. This is to cover whilst they recruit or could lead to a temp to permanent position for the right candidate.
Your role:
You will provide an effective and flexible service to support the general office and technical teams/managers. You will be working with various people with different requirements and personalities, so it is important to adapt your style as needed.
You will need to demonstrate previous experience of working in a busy office environment and have strong computer skills in Microsoft Outlook, Word, Excel, and PowerPoint.
Responsibilities include:
1. Providing general admin support to technical teams to assist them in effectively managing their projects.
2. Scheduling meetings, preparing agendas, taking and distributing minutes, and arranging all necessary conference room facilities, including travel and accommodation.
3. Assisting with the organization of external events.
4. Preparing and formatting documents using the Microsoft Office suite (Word/Excel/PowerPoint) and maintaining filing and archiving systems.
5. Being a point of contact for telephone inquiries and welcoming visitors to the office.
6. Arranging, scanning, and distributing post, couriers, and internal/external printing.
7. Keeping stock of office supplies and placing orders when necessary.
8. Assisting in organizing both internal and external events.
9. Collating information related to bid documents and tenders, which may require liaison with different teams/departments across the business and/or completing supplier questionnaires.
The person:
1. 2 - 5 years of experience in a busy office environment.
2. Strong computer skills in Microsoft Outlook, PowerPoint, Word, and Excel.
3. Ability to stay calm under pressure, have a positive attitude, and willingness to get involved.
4. Ability to plan and effectively prioritize your workload and that of your team.
5. Demonstrate professional competence within your area of work, with minimal supervision.
6. Independently perform routine and non-routine tasks.
7. Confidently liaise with external contacts and colleagues at all levels to ensure effective communication on admin-related matters.
