We are recruiting on behalf of our client for a Document Services Officer to join their team on a temporary basis to provide sickness cover. About the Role
As a Document Services Officer, youll play a key role in ensuring the smooth and efficient delivery of mail, print, file archiving, and scanning services. Reporting to the Document Services Manager, youll be responsible for managing day-to-day tasks, maintaining high standards, and helping the team achieve performance goals. Youll also help train staff and ensure that all equipment is used correctly and safely. This is a fantastic role for someone who enjoys working with a team and thrives in a customer-focused environment.
Key Responsibilities
* Service Delivery: Oversee and support the day-to-day operations of document services, including mail, print, and scanning services, ensuring high-quality performance.
* Customer Focus: Ensure all services meet customer expectations and deliver high levels of satisfaction.
* Training and Support: Assist in training staff to ensure effective service delivery and promote awareness of document services across the council.
* Equipment Maintenance: Ensure all equipment is operated according to manufacturer guidelines and report any issues to the Document Services Manager.
* Health & Safety Compliance: Promote safe working practices and ensure compliance with Health and Safety regulations.
* Administration: Handle day-to-day administrative tasks, including requisitions for supplies and maintaining performance information.
* Courier Route Management: Assist the Document Services Manager in continually reviewing and optimizing the council courier routes.
* Support for Multi-Function Device Fleet: Help manage and support the councils multi-function device fleet.
Qualifications and Experience
We are looking for candidates with the following qualifications and experience:
* Education: A-level, NVQ Level 3, or equivalent relevant qualification or experience.
* Skills: Strong numeracy and literacy skills.
* Technical Knowledge: Familiarity with reprographics, mail room equipment, and relevant health and safety regulations.
* Software Competency: Proficient in using standard computer software such as Word, Excel, and other desktop packages.
Experience:
* At least 2 years of experience in a document services, administrative, mail room, or print environment.
* Experience interacting with customers, either over the phone or face-to-face.
* Familiarity with managing standards and solving problems.
Personal Attributes:
* Excellent communication skills.
* Ability to work independently and manage deadlines.
* Problem-solving mindset and ability to develop ideas for process improvement.
