We are looking for a part time Receptionist/Administrator (Care Coordinator) to work with our friendly and supportive team at Faversham Medical Practice
(Agenda for Change Band 2)
Monday 14:00 - 20:00, Tuesday 14:00 - 20:00, and Saturday 8:00 - 14:00
Employment will be by Faversham Medical Practice. However, this role is an Additional Roles Reimbursement Scheme (ARRS) funded role across Mid Kent PCN.
Main duties of the job
The purpose of the role is to support the PCN Practice at the above locations to:
1. Offer general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.
2. Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.
3. Undertake a variety of administrative duties to assist in the smooth running of the practice including the provision of administrative support to clinical staff and other members of the practice team.
4. Ensure the delivery of safe, effective and efficient systems for repeat prescribing efficiency, medicines optimisation, medication enquiries triage and maximising patient outcomes.
5. Facilitate effective communication between patients, members of the primary health care team, secondary care and other associated healthcare agencies.

Duties and responsibilities:
The duties and responsibilities to be undertaken by members of the practice reception team may include any or all of the items in the following list. Duties may be varied from time to time under the direction of the Reception Manager/Business Manager, dependent on current and evolving practice workload and staffing levels:
6. Processing personal and telephone requests for appointments, visits and telephone consultations and ensuring callers are directed to the appropriate healthcare professional. This may be for GP or nurse/HCA clinics, UTC or any other service as required.
7. Processing and distributing incoming (and outgoing) mail.
8. Taking messages and passing on information.
9. Filing and retrieving paperwork.
10. Processing repeat prescriptions in accordance with practice guidelines.
11. Scanning of post, new patient notes, previously filed patient notes and other documents as required.
Administrative duties
12. Chaperoning duties.
13. Computer data entry/data allocation and collation; processing and recording information in accordance with practice procedures.
14. Providing help and information to patients and visitors.
15. Initiating contact with and responding to requests from patients, other team members and associated healthcare agencies and providers.
16. Clearing and re-stocking consulting rooms as required.
17. Providing clerical assistance to practice staff as required from time to time, including word/data processing, filing, photocopying and scanning.
18. Ordering, re-ordering and monitoring of stationery and other supplies. Re-stocking the stationery cupboard with these supplies.
19. Provision of refreshments for staff and visitors as required; washing up afterwards and keeping the kitchen area clean and tidy.
20. Keeping the reception area, notice-boards and leaflet dispensers tidy and free from obstructions and clutter.
21. Ensuring off site external storage unit is kept organised, clean and accessible when instructed by the Reception Manager or Reception/Administrator Supervisor, retrieving, updating and filing of stored information as required.

The post-holder will assist in promoting and maintaining their own and others health, safety and security as defined in the practice health & safety policy, the practice health & safety manual, and the practice infection control policy and published procedures. This will include:

57. Be able to show and evidence managing difficult or demanding patients.
Desirable
58. Experience in primary care/ NHS / caring profession
59. Be able to use a scanner or experience of mass scanning

63. English and Maths GCSE grade C or above.
64. Formal qualification in IT ( CLAIT, ECDL)
