AmicusLaw Solicitors is a friendly Dorset, Somerset and Devon-based Law Firm. We are an experienced, specialist team of tenacious, yet friendly lawyers, passionate about representing our clients’ interests, with offices in Bridgwater, Minehead, Wellington, Yeovil, Martock, Exeter, Taunton, Ilminster and Weymouth.
We are looking for an additional team member for our Exeter office to fill the role of Client Services Representative. The role involves ensuring our clients and introducers of business receive the best possible service at all times, acting as the face (or voice) of Amicus, and always presenting a friendly, helpful, efficient, and professional demeanor.
About the Role:
1. Office organisation, ensuring the office is open and ready for business at the start of the working day, with marketing signage and materials in place.
2. Incoming and outgoing post management, including scanning and distribution.
3. Meeting room management, ensuring cleanliness and tidiness, and paying special attention to confidential papers.
4. Meeting and greeting clients and other visitors, providing a warm welcome and refreshments, and alerting relevant staff.
5. Front line call handling, demonstrating exceptional client service, making appointments, and following up on calls.
6. Keeping appropriate records in SOS of client preferences and ensuring confidential data is safeguarded.
7. Confirming appointments in advance and passing on relevant information to fee earners.
8. Responsibility for Health and Safety within the branch under the direction of the Facilities Manager.
9. Stationery and office supplies ordering and stock management.
10. Office inductions for new staff.
11. Maintaining the branch intranet page.
12. Helping to organise and support office events and entertainment.
13. Creating and maintaining archive records, closing files, and scanning documents.
14. Conducting the administrative aspects of file reviews.
15. Greet and supervise contractors as required by the Facilities Manager.
16. Communicate opportunities for social media or website content to the Marketing Manager.
17. Assist with telephone and reception cover for other branches as needed.
18. Set up video calls and assist users with training on AV equipment.
19. Attend training and out of hours team meetings as needed, but not more than once per month.
20. May be required to travel between offices.
21. Other ad hoc duties as required.
Ideally, you will have recent experience in a similar role and possess excellent IT skills.
Full Time: 8.45am - 5.15pm Monday to Friday
Competitive Salary: £23,500.00 per year
