We are seeking a self-motivated, organised and proactive administrator who is looking for an interesting and varied position within the buildings team. We are a busy city centre medical practice offering outstanding patient care and are looking for an administrator who can demonstrate the following qualities:

Tasks of the job include and are not limited to:
1. Maintain the buildings email inbox and action any emails, as well as the Buildings online filing system
2. Maintain the repair and servicing log
3. Ensure buildings administration is up to date throughout both practice sites and contractor folders
4. Co-ordinate a list of reliable contractors for both practice sites
5. Book and monitor completion of maintenance requests
6. Manage a small budget for repairs and escalate more substantial estimates to the Buildings Lead as required
7. Liaise with the Landlord representatives for Landlord repairs
8. Liaise with the keyholder, and regular contractors for scheduled repairs and servicing according to agreed schedules (e.g. boilers, PAT testing, EDEC certificates etc)
9. Liaise with regular contractors for general maintenance (e.g. water coolers, gas and electric meters etc)
10. Liaise with regular consultants for H&S services (e.g. Fire, Legionella) according to agreed schedules and ensure any actions are completed
11. Ensure Legionella, fire and all H&S documents are up to date at both sites and all plans across both sites are correct, updating as required
12. Arrange visits from surveyors for rent reviews
13. Any other duties appropriate to the role
The successful applicant would be responsible for liaising with the landlord and contractors to ensure annual servicing, risk assessments and repairs are booked in a timely manner adhering to health and safety regulations and compliance.
You will be required to communicate effectively and be able to build strong rapports with all staff, the landlord, and external visitors.
The role offered is part-time working 16 hours per week. Days of work will be Monday to Thursday with a start time to be confirmed between 8am - 9am.
