University Arms is a 192-bedroom design-led Hotel situated in the heart of Cambridge, United Kingdom. Overlooking Parker’s Piece is the Hotel’s quintessentially British Restaurant and Bar, Parker’s Tavern, Library Lounge, and beautiful 272 square metre wood-panelled Ballroom.
Opened in 1834 as a Coaching Inn, University Arms is Cambridge’s oldest Hotel. For 180 years, the Hotel was added to, updated, and modernised in the line with the age, however, it was the reopening in 2018 after a four-year £80m full renovation that really positioned the Hotel. It is now Cambridge's go to’ destination, alluring visitors with the promise of a sense of modern luxury.
WHAT WILL YOU BE DOING
The Conference & Events Supervisor is responsible for the smooth and efficient delivery of all conferences, meetings, banquets, and special events. You will lead the events team during set-up, execution, and breakdown, ensuring high standards of service, customer satisfaction, and compliance with company procedures. Your tasks will include, but not be limited to:
THE DUTIES
1. Supervise the setup, delivery, and breakdown of conferences and events.
2. Conduct event briefings with the team.
3. Ensure all events run to schedule and meet or exceed guest expectations.
4. Liaise with clients before and during events to ensure their needs are met.
5. Lead and motivate the events team, providing clear instructions and support.
6. Train and coach team members to deliver outstanding service.
7. Monitor inventory of event supplies and report any shortages.
8. Handle guest complaints or issues efficiently and professionally.
9. Have a high level of presence within the department to lead by example through a hands-on approach.
10. Ensure compliance with all food & beverage policies, standards, and procedures by training, supervising, follow-up, and hands-on management.
11. Collaborate with the kitchen team to ensure smooth communication, timely food preparation, and accurate order delivery.
12. Other duties may be assigned.
WHAT ARE WE LOOKING FOR IN YOU
1. Previous event operations experience within a hotel is essential.
2. Strong leadership and communication skills.
3. Excellent organisational and time management abilities.
4. Ability to multitask and stay calm under pressure.
5. Knowledge of health & safety and food hygiene standards.
6. Proficiency in Microsoft Office and/or event management software is a plus.
7. Flexible to work evenings, weekends, and public holidays as required.
8. Ability to thrive in a fast-paced environment, multitask, and prioritise responsibilities.
