Correspondence Manager
My client based in Manchester City Centre is looking for a Correspondence Manager to join their team on a temporary ongoing basis - 4 month contract signed off at the moment.
Hybrid - 2 days at home and 3 in the office 09:00 - 17:30
Monday to Friday - Immediate start.
The successful candidate will play a leading role in building and maintaining relationships and reputation with Parliamentarians, government officials, stakeholders, and members of the public.
You will support the correspondence function within the communications team. Correspondence is an integral part of the public face of the company and requires skills including: writing for different audiences, managing and responding to queries from stakeholders and members of the public, identifying potential reputational damage, escalating, managing and preventing these risks, having good institutional knowledge, acting as a trusted advisor to colleagues across all levels of the company, managing the day-to-day running of a team and line management.
You will be responsible for:
1. Monitoring the correspondence inbox daily to ensure all correspondence received is read, logged, and allocated to the appropriate colleagues for a response.
2. Ensuring the delivery of prompt and accurate responses to all correspondence queries.
3. Drafting letters and emails in response to a wide range of correspondence queries and coordinating contributions to responses from colleagues.
4. Providing high-quality tailored advice on the management of correspondence responses to colleagues and teams across the business.
5. Understanding our work and strategic priorities.
6. Working with the Head of Corporate Communications to produce regular evaluation reports to monitor the team's performance and identify areas for improvement.
7. Working with the Head of Corporate Communications to ensure best practice processes and procedures for managing correspondence are followed by colleagues and teams across the business.
8. Working with the Head of Corporate Communications to manage the day-to-day running of the correspondence function.
9. Line management of one member of the correspondence team, possibly two.
10. Attending relevant meetings as a representative of the correspondence team.
Knowledge, Skills, and Experience:
Essential
1. Ability to handle challenging and difficult phone calls and written correspondence, and to provide support and coaching to help team members deal with this type of correspondence.
2. Experience of writing for different audiences on a range of issues.
3. Ability to understand complex issues and turn them into plain English.
4. Line management experience.
5. Experience of managing/running a team on a day-to-day basis.
6. Ability to plan/organise your own work, prioritising where necessary to meet competing demands.
7. Ability to build and maintain knowledge of our work and use this knowledge to answer queries and/or seek out the best sources of information to satisfy queries.
8. Ability to build and maintain good relationships with colleagues at all levels across the organisation.
