An exciting opportunity has arisen to join the Medical Education Department as a Medical Education Administrator for Worcestershire Acute Hospitals NHS Trust.
We are seeking to recruit a Medical Education Administrator for 15 hours a week. This is a Countywide post covering both the Worcester and Alexandra Hospital sites, but the main base will be in the Arafa Education Centre at the Alexandra Hospital. The hours will need to be worked over 2 days on Tuesday and Wednesday.
Main duties of the job
The successful applicant will be a skilled administrator, possessing excellent IT and communication skills and will assist in the day to day running of the Education Centre. The Medical Education Department is a friendly and supportive team working across the Worcestershire Acute Hospitals NHS Trust, on the Worcestershire Royal and Alexandra sites.

Job responsibilities
Key Working Relationships
Internal
Consultants and junior medical staff working on the Alexandra Hospital site, nursing staff, midwives, clerical staff and all other users of the Centre.
External
Representatives from Pharmaceutical companies, GPs and any other external users of the Centre.
Work with display screen equipment and electrical equipment when setting up courses and meetings. Occasional moving of furniture/room dividers to alter room settings in the Centre.
Job Purpose
The post holder will:
Support the running of the Postgraduate Medical Education office at the Alexandra Hospital.
The postholder will be expected to work closely with colleagues in the Education Centre, and also work on their own initiative.
Provide an efficient, professional and friendly service.
Key Duties
* Provision of administrative support for Medical Education in the Arafa Education Centre at the Alexandra Hospital. Occasional working on the WRH site may be required, and occasional evening or weekend work may also be required. Time will be given back in lieu.
* Assist in the administration of local training programmes for junior doctors, to include induction and mandatory teaching programmes relating to induction sessions, plus weekly teaching sessions.
* Holding bleeps for protected teaching sessions, and maintaining attendance records and summarising evaluation forms.
* Providing an effective, efficient and courteous reception to users of the Education Centre, in person and over the telephone. Being the first point of contact and meeting speakers on arrival, welcome and sort out audio-visual requirements etc.
* Maintenance and preparation of up to date email contact groups.
* Providing support and answering simple enquiries relating to the Horus e-portfolio used by Foundation doctors and their supervisors.
* Support Medical Education Management team in organisation and co-ordination of quality assurance visits as required.
* Ordering stationery and other goods as required by means of Procurement System and signing off receipt of goods as appropriate liaising with Medical Education Manager.
* Filing as necessary for own responsibilities and assisting the Medical Education Team in housekeeping exercises as and when necessary both in the offices and on the computer systems.
* Assist with room bookings via the computerized booking system where necessary.
* There may be a requirement at times to move furniture/open and close partitions/set up skills stations for courses. Full training would be given.
* The appointed post holder will be expected to be an active team member and be aware of when other team members are pressured and need assistance and to be prepared to assist others at busy times and such times of stress in the department.
* The postholder may be required to undertake such other duties and training and/or hours of work as may be reasonably required to be consistent with the general level of responsibility of the post.

Person Specification
Experience
* Good organisational and administrative skills, evidenced by previous experience in an administrative role.
* Experience in a health-related or Education environment.
Skills and Knowledge
* Excellent communication skills and ability to communicate with staff at all levels.
* Excellent IT Skills and knowledge of Microsoft Office package.
* Confident telephone manner.
* Good organisational skills.
* Able to produce accurate and timely work.
* Ability to prioritise work effectively.
* Ability to use own initiative and work independently.
* Needs to be able to travel between Trust sites.
* Knowledge of structure of NHS and medical terminology.
* Basic understanding of Medical Education.

* Educated to NVQ level 3, A level or equivalent level of qualification, or significant previous proven experience.
