About the Role:

As an inclusive, forward-thinking business, we take pride in our approach to investing in our LGV fleet across Avara Foods and are looking for a highly competent and motivated Fleet Coordinator to join our Transport Team, based at our Telford site.
The role is office based and as Fleet Coordinator, you’ll be working 7:00-16:00 Monday-Friday.
What will you be doing as a Fleet Coordinator at Avara?
As a Fleet Coordinator, you’ll plan all scheduled maintenance for the fleet of tractors and trailers. Liaison with service providers to ensure all vehicle documentation is provided in a timely manner and records are kept in line with Operator Licensing Regulations.
What will your key responsibilities as Fleet Coordinator include?
1. Planning the scheduled maintenance of the LGV fleet based at Telford by liaising with service providers and providing updates to the Logistics Section Managers and Transport Team Leaders.
2. Monitor and manage service interval mileage and take appropriate action to ensure the maximum permitted Kilometres are not exceeded.
3. Delivering an MOT schedule that reduces downtime and avoids peak periods.
4. Monitoring and updating Fleet Check system to ensure full visibility of vehicle records in a timely manner.
5. Updating manual vehicle files with all scheduled and non-scheduled maintenance documentation.
6. Generate and collate Maintenance Agreements for all Service Providers.
7. On-site responsibility for updating Operating License via the centralised fleet team.
8. Completion of any insurance and damage reports for any road traffic incidents or reportable damage to the fleet.
9. Monitoring and updating the Tachomaster tachograph monitoring system to ensure drivers are operating within the legislation. Conducting investigations and record of discussions with drivers to manage Tachograph Infringements, escalating persistent issues to the Logistics Manager.
10. Carrying out three monthly licence check for all Avara drivers and audit the daily agency driver checks and declarations.
11. Ensuring all legal obligations relating to tachograph management are completed weekly.
12. Sending detailed weekly reports to the Transport Team.
13. Reconciling chargeable work invoiced by service providers before purchase orders are raised.
14. Monitor the defects procedure and where applicable:
15. Ensure each defect advised has a report.
16. That a copy of the defect to accompany the vehicle for repair.
17. Signatures from the workshop are obtained once the work is completed.
18. Check the repair and sign the report.
19. Ensure the report is filled correctly and kept up to date.
What you’ll need to be successful:
1. Proven track record in logistics and transport operations.
2. Previous experience working within a budgeted environment.
3. Health and Safety and Compliance responsibility.
4. Good numeracy skills.
5. High level of knowledge in Transport and Road Haulage Legislation.
6. Excellent organizational, written and oral communication.
7. Strong Team player able to delegate work and gain buy-in.
8. Road haulage CPC holder (National).
