Vanrath is recruiting for a Senior Administration Officer with PA duties on behalf of a large public sector body in Lisburn, on a temporary basis. What’s in it for you? · Part time 22.5 hours · Temporary · £25,409pa Purpose of the Role: Support the Director by assisting the PA in delivering executive, secretarial, and administrative duties. Ensure efficient service delivery and maintain effective communication with elected members, senior officers, and external stakeholders. Main Responsibilities: Report Preparation: Compile and collate reports for committees and meetings. Conduct research and prepare background papers. Diary and Email Management: Schedule meetings with officers, members, and external stakeholders. Redirect mail and maintain effective communication channels. Meeting Coordination: Prepare agendas, take minutes, and coordinate follow-up actions for meetings. Deputise for the PA during directorate meetings and prepare meeting packs. Stakeholder Engagement: Receive visitors and assist with event preparations. Handle complaints and enquiries, using initiative to resolve issues or escalate as needed. Records and Systems Management: Maintain manual and electronic filing systems. Oversee administrative systems, such as Purchase Ordering and Absence Management. Policy Compliance: Adhere to organisational policies and procedures. Promote equality and confidentiality in all tasks. General Administrative Support: Cover for absences within the Directorate. Handle sensitive and confidential issues effectively. About you Essential Qualifications: Five GCSEs at grades A-C, NVQ Level 2, or an equivalent qualification. Essential Experience: At least three years of employment experience in all the following areas: Personal Assistant support to a Chief Executive, Director, or Senior Manager. Proficiency in minute-taking. Operating and managing office administration systems, both manual and electronic.
