About the Role and our Ideal Candidate
Purpose of the Role:
Provide support in the administration of electoral registration and the delivery of elections/referendums.
Assist the Chief Executive Officer (CEO) in their capacity as the Electoral Registration Officer (ERO) and Returning Officer (RO).
Key Responsibilities:
Administrative Support:
Deliver administrative support for electoral services, ensuring compliance with relevant legislation, including the Elections Act 2022.
Assist with the preparation, compilation, publication, and distribution of the Register of Electors.
Handle incoming post for the section, including opening, recording, and distribution.
Data Management:
Accurately input, maintain, and retrieve elector records using both digital and manual systems, including records for absent voters and election staffing.
Customer Service:
Respond to face-to-face, telephone, and written enquiries, applying skill, knowledge, and judgment to decide on appropriate actions.
Provide accurate and timely responses to residents on electoral registration matters.
Public Engagement:
Assist with electoral awareness campaigns, supporting voter engagement and education initiatives.
Collaborate with colleagues and the public to enhance awareness and participation in elections.
Compliance and Knowledge:
Stay up-to-date with changes in electoral legislation to ensure the effective delivery of services.
Maintain impartiality while providing specialist knowledge to members of the public, councillors, candidates, and agents (for senior-level appointments).
Operational Support:
Support the planning, organisation, and delivery of all electoral projects.
Perform key administrative tasks such as scanning, data entry, and customer service, while also managing manual handling tasks as required.
For Higher-Level Appointments:
Provide expert, impartial advice to stakeholders, including candidates and agents.
Contribute significantly to the strategic planning and organisation of electoral activities and campaigns.

This team is responsible for the production of the Register of Electors and the conduct of elections, referendums, and statutory ballots within the Royal Borough of Kingston.

Reporting directly to the Deputy Electoral Services Manager, the role involves:
Some supervision of temporary staff during the canvass/voter registration period, elections, and other statutory events.
Providing guidance to office temporary staff and apprentices.
Supporting the team’s statutory responsibilities, including maintaining the Register of Electors and delivering elections and referendums.
