We are looking for an Administrative Specialist for a 12-month contract based in Leatherhead.
Responsibilities/Experience:
1. Provide administrative assistance to the Concept Development team, including:
2. Become fully conversant with Project Documentum DCC system for extraction of documents.
3. Prepare, transmit, receive, log, and file project correspondence, as required.
4. Administer and maintain the CDM calendar/schedule, coordinate meetings, and ensure relevant documentation is printed and available prior to scheduled meetings.
5. Prepare and finalize presentation materials and slide packs for CD team external meetings and ensure materials are properly filed with DCC.
6. Receive and escort VIP visitors within the Contractor's offices as requested.
7. Attend key meetings and record minutes, formalizing and obtaining endorsement from attendees.
8. Update weekly progress reports by collating contractor data and transferring it to Client format reporting (budgets, schedule/high-level progress).
9. Manage the CTR receipt, approval, and expediting Call Off in a timely manner to support the workload.
10. Manage CD team travel requirements, visas, expenses, etc.
11. Utilize DocuSign and seek/expedite approvals from in-country personnel.
12. Liaise with other PAs in the region to ensure alignment on CDM meeting dates, times, and attendance.
13. Address IT issues for the Concept Development Teams with the relevant IT department and expedite resolution.
14. Maintain CDT Teams site with the latest PIRs, Stage Gates, and information.
15. Maintain project documentation (Org charts/contact lists).
16. Manage the CD team weekly call, safety moments, attendance, and meeting room logistics.
17. Provide other administrative assistance as required, such as copying and distribution of documentation and requesting appointments.
