Job Description:
Johnson & Johnson MedTech is seeking a Business Compliance & Operations Associate.
Purpose of the role:
To support the UK/IRE Business Compliance & Operational Function across the assigned business unit(s) to ensure all activities within the UK/IRE One MD business take place compliantly and payments are processed in a timely manner and in line with the P2P process.
You will undertake various administrative tasks across UK/IRE Commercial Function including supporting the Business Compliance Specialist with Health Care Compliance (HCC) review, approvals and reconciliation, through to providing general administrative and meeting and travel support to the sales, marketing and commercial teams. The role will also involve raising Purchase Orders in line with internal policies to ensure that the business follows the P2P process.
What to expect:
1. Provide administrative support to the designated UK/IRE Business Compliance Specialist to ensure all HCP/GO related activities within the business take place compliantly and have the required documents and approvals in place prior to the activity going ahead.
2. Provide guidance, and first level reviews in accordance with the HCC programme.
3. Process and review such requests via the on-line approvals tool.
4. Draft HCP/ GO contracts using a legally approved template.
5. Deliver ad-hoc training and systems supports on HCC approvals system to staff as the need arises.
6. Ensure post event documentation is provided in line with audit requirements.
7. Logistical support for internal and external meetings.
8. Booking of HCP/GO travel and accommodation in line with company policy.
9. Process and submit accurate payments in a timely manner.
10. Collaborating closely with appropriate business partners to ensure POs are routed to the correct cost centre and approval flows are set-up accurately.
11. Liaise with ARIBA site co-ordinator and Global Services Team as necessary to identify and resolve payment discrepancies.
12. Improve the Business Compliance function by accepting ownership for being customer centric and solutions orientated.
13. Engage with and support the business as a trusted partner and offer vital support.
14. Support testing, monitoring and auditing of the HCC and finance programmes.
15. Establish work procedures and processes that support company and departmental standards, procedures and strategic directives.
16. Contribute to quarterly metrics / reporting.
17. Establish a sound business relationship with internal and external stakeholders.
18. Willingness to travel, and attend meetings as required.
Who are we looking for?
1. Minimum of 5 years Administration Experience.
2. Familiar with J & J policies relevant to the role – HCBI guide, Policy of Business Conduct, Travel, Meetings and Expenses Policy, and P2P process.
3. Experience of HCC systems (HCC life / FIDO) and JnJ systems preferably (HCC Life / ARIBA / S).
4. Ability to work on own initiative and as part of a team.
5. Demonstrates high level administration skills.
6. Proactively manages workload.
7. Ability to take care of flexible workload and ambiguity is essential.
8. Excellent attention to detail.
9. Self-motivated and hard-working.
10. Ability to optimally operate at all levels within the organisation and build strong working relationships with all stakeholders.
11. Work with company policies and procedures.
