Established Facilities Management organisation is looking for an Operations Co-Ordinator to join their busy team supporting Oxford Research Facilities Operations. As Operations Co-Ordinator, you will be assisting with providing soft services facilities and administrative support.
Offered as a permanent contract with competitive salary and immediate start available, successful candidates for the role of Operations Co-Ordinator should demonstrate excellent administration, communication, interpersonal and customer services skills with all levels of the operation and organisation and have good working knowledge of facilities, in and associated duties.
Responsibilities of Operations Co-Ordinator include:
* Daily checks of all open office areas, meeting rooms, break out areas, toilet facilities and resolution of any issues
* Daily setting up/replenishment of staff breakfasts, snacks and fruit within lunchroom
* Meeting room set up and assist with site events
* Liaising with Facilities/Office management team including security for any overnight set-ups
* Place orders for lunches, receiving food deliveries, displaying the lunch as well as clearing meeting rooms after the lunches/meetings are finished
* Collect social hour delivery and assist with setup as required
* Assist with catering and stationery stock replenishment, including raising purchase requisitions and placing orders
* Provide administrative support to the Facilities Operations team and EHSS department
* Assist team with raising purchase requisitions, invoice verification, filing, scanning and archiving of records
* Respond to staff requests and queries, logging tasks on ServiceNow
* Use of in-house systems such as ServiceNow (Helpdesk), V-Learn (Training), vShipping (Courier), Concur (Expenses), Coupa (Requisitions & Invoicing) and Travel (training provided)
* Maintain company scientific archiving records and other soft services project requirements
* Participate as part of the team with weekly fire alarm testing and associated safety checks
* H&S compliance for areas of responsibility ensuring all documentation electronically and/or written is up to date and correctly filed
* Provide general pro-active support to the office and additional cover for the soft services Operations Coordinator during meetings, holidays and periods of absence
* Assist with other general duties including postal services/supplies and ad-hoc tasks as required by operations management team
* Contribute to the Environmental Management Program and/or additional site initiatives
Skills required by Operations Co-Ordinator:
* Previous experience in Customer Service
* Excellent computer skills with a good knowledge of Microsoft Office software required
* Proven ability to communicate clearly and effectively with visitors, contractors and vendors
* Excellent customer services skills to offer help and support at all levels
* Display good self-organising and multi-tasking skills
* Ability to work on own initiative whilst also being a team player
* Exercise independent judgment, responding to changing business requirements.
Location: Milton Park, Oxfordshire
Hours of Work: Monday to Friday 8:00 am – 5:00 pm (40 hours per week)
Salary: £27,000 to £30,000 – negotiable dependent upon experience
